How a Tuition & Coaching Centre Runs on TuitionDesk — Batches, Attendance, Fees & Parents

This is what TuitionDesk was built for: academic tuition and coaching centres. Follow a normal week — set up batches and rooms, mark attendance, collect fees, and keep every parent informed — from one dashboard on the owner’s phone or laptop.

Setup flow

How a Tuition Centre Sets Up on TuitionDesk

The same 5-step flow whether you run 30 students or 300 — set up once, then run your week from the dashboard.

Org setup

Set your country and create the organisation

The owner creates the organisation and sets Country of Operation. That one setting switches the billing currency, the payment processor, the timezone and the date format to match the country the centre operates in.

Batches & rooms

Create batches, timetable and rooms

Each batch gets its sessions, set per batch or per session as online, offline or hybrid. Assign a Venue — a room or hall — and TuitionDesk won’t let two batches double-book the same room at the same time.

Attendance

Mark attendance every class

Teachers mark attendance from their phone for each session. Instructor check-in and check-out are geo-tagged, so attendance is tied to where the class actually happened.

Fees

Collect fees from one dashboard

Fee plans, EMI and instalment schedules and invoices for every student are visible to the owner in one fee dashboard, so it is clear who has paid and who is due.

Parents & teachers

Keep parents and teachers in sync

Every parent gets the parent portal for fees, attendance and progress, with push, WhatsApp and email notifications. Teacher pay — fixed, per-session, full-time or part-time — is tracked centrally.

4 kinds of centre

Pick the Centre You Run

Every type below runs on the same TuitionDesk account — pick the one that looks like your centre.

Centre 1 · Neighbourhood centre

A small centre run by one or two tutors

A solo operator or a couple runs every batch from one owner login. Up to 10 students and 1 teacher stay on the Free plan at no cost; growing past that moves to Starter (up to 75 students, 5 teachers).

Centre 2 · Multi-teacher coaching centre

Several teachers, many batches, one timetable

Each teacher gets their own login for their batches. Rooms are assigned per session so batches never clash, and teacher pay is tracked and creates a linked expense automatically.

Centre 3 · Hybrid centre

Some classes online, some at the centre

A single batch can mix online sessions with a Zoom, Teams or Google Meet link and offline sessions at a Venue. The mode can be overridden on any individual session without creating a second batch.

Centre 4 · Growing multi-branch centre

More students, more teachers, more branches

Larger centres typically run on the Growth, Pro or Enterprise plan for the teacher count and branch support they need, with fees, attendance and reports still combined in one dashboard.

FAQ

Questions about running this on TuitionDesk

Can TuitionDesk run online, offline and hybrid batches in the same centre?

Yes. Mode — online, offline or hybrid — is set per session, batch or schedule, not per organisation, so one TuitionDesk account can run all of them side by side, with fees, attendance and reports combined in one dashboard.

Can two batches double-book the same room?

No. When a session is assigned a Venue, TuitionDesk prevents another session from being scheduled in that same venue at the same time.

How do parents follow fees, attendance and progress?

Every parent gets the parent portal for fees, attendance and progress, with push, WhatsApp and email notifications.

How are teachers paid and tracked?

Each teacher profile sets an employment type (full-time, part-time, contract or freelance) and a salary type (fixed monthly, per session, per student per month or weekly retainer), and each paid salary creates one linked expense automatically.

Is there a free plan for a small centre?

Yes. The Free plan covers up to 10 students and 1 teacher with no time limit and no credit card required. Starter goes up to 75 students and 5 teachers.
