How to Run Multiple Turfs and a Sports Academy on One Dashboard

A real multi-location owner setup: public turf bookings at every ground, equipment rental, academy batches, tournaments with brackets and fixtures, and tracked sponsors — rolled up into one dashboard so you can monitor every branch without being on site.

Six revenue streams, one owner

Every booking, batch, bracket and sponsor on the same dashboard

Six real revenue streams — exactly what a multi-turf owner running an academy alongside configures in TuitionDesk to book, rent, teach, compete, sponsor, and monitor from anywhere.

Turf bookings

Outside players book a turf online — no account, no phone call

Each turf is set up as a Venue with venue_type turf, at whichever branch it belongs to. Switching on allow_public_booking lets outside players reserve a slot from your free public site with no account and no phone call — the VenueBooking records the slot, the payment, and a source field (public, staff, or parent portal) showing who actually created it. Because every class session is also assigned to a Venue, TuitionDesk won't let an internal batch double-book a turf that's already reserved by an outside player, and booking revenue is tracked separately for every turf.

Equipment rental

Equipment rental runs as its own revenue line, on or off the turf

Balls, bibs, and other gear are set up as Equipment, rented out through date-range Equipment Booking — the same public-booking pattern as turf, so outside players and members can reserve equipment through the public site without double-booking the same item. Equipment Booking tracks its own payment fields, so rental income shows up as a revenue line separate from turf time or class fees, whether the gear goes out alongside a turf slot or completely on its own.

Academy classes

Academy batches run alongside the turfs, on their own fee plans

Fitness, sports, and martial-arts batches run as named institute types — fitness_wellness, sports, and martial_arts cover gym classes, other sports coaching, and MMA — each with sessions that can be offline, online, or hybrid. Coaches check in and out from their phone, and TuitionDesk captures the check-in and check-out location for every session. Every batch carries its own fee plan with EMI, so membership revenue is collected and tracked completely separately from one-off turf and equipment bookings.

Tournaments

Tournaments run with real brackets, fixtures, and team registration

A tournament is an Event with event_type set to TOURNAMENT, CAMP, or COMPETITION, with its own capacity and registration_fee. Turning on allow_public_registration lets players or teams sign up from the public site, and registration_mode can be set to team, which collects a team name and roster between team_size_min and team_size_max. Inside the event, TournamentCategory creates each bracket — U12, U16, Open — and Fixture tracks every match in that bracket: round name, the two participants, the scheduled time, the score, and the winner, so registration-fee revenue and the full bracket live on the same event record.

Sponsors

Sponsors are tracked by tier — TuitionDesk doesn't process their payment

A Sponsor record holds the sponsor's name, contact, and logo at the organisation level, and EventSponsor links that sponsor to a specific tournament with a recognition tier — TITLE, GOLD, SILVER, BRONZE, PRIZE, or OTHER — plus the amount, so the sponsorship shows up in your own books and recognition without you running it through a spreadsheet. To be clear: TuitionDesk does not itself charge the sponsor or process that payment — the amount is recorded for your books and recognition, you collect it however you normally do (bank transfer, and so on), and a thanked_at timestamp marks once a thank-you certificate or notification has gone out. A separate SponsorshipRequest flow lets a student or parent request sponsorship for something like tournament travel, which staff approve and then share with a prospective sponsor by a token link — again an introduction only, with no payment flowing through TuitionDesk.

One dashboard

One owner, every turf and the academy, one dashboard

Every turf location and the academy site is a Branch under one Organization and one owner login, and branch_type lets each branch override the organisation's institute type — so Branch A can be a turf facility while Branch B runs as the academy, all under the same account. Multi-branch dashboards and cross-branch reporting roll up turf bookings, equipment rental, class fees, tournament registrations, and sponsor amounts across every branch into one view, so the owner monitors the whole portfolio remotely while branch admins and managers run the day-to-day on site. Multi-branch is available from the Pro plan (up to 3 branches) or Enterprise (unlimited branches) for owners running many sites.

FAQ

Questions about running multiple turfs and an academy on TuitionDesk

Can one owner run multiple turfs and an academy together?

Yes. Each turf location and the academy site is a Branch under one Organization and one owner login, and branch_type lets a branch override the organisation's institute type, so turf branches and an academy branch can run side by side on the same account. Multi-branch is available from the Pro plan (up to 3 branches) or Enterprise (unlimited branches).

Does TuitionDesk process tournament sponsor payments?

No. EventSponsor records the sponsor's recognition tier — TITLE, GOLD, SILVER, BRONZE, PRIZE, or OTHER — and the amount for your own books and recognition, but TuitionDesk does not itself charge the sponsor or process that payment. You collect it however you normally do, such as bank transfer, and mark it thanked once a thank-you certificate or notification has gone out.

Can outside players book a turf without an account?

Yes. Turning on allow_public_booking on a turf Venue lets outside players reserve a slot from your free public site with no account, and the VenueBooking's source field records whether the booking came from the public site, staff, or the parent portal.

How is revenue separated by turf, equipment, and classes?

Turf bookings, equipment rentals, and academy class fees are tracked on separate records — VenueBooking, Equipment Booking, and class fee plans — each with its own payment fields, so reports can show revenue per turf, per equipment item, or per class without mixing the three together.

Can I track tournament brackets and results?

Yes. A tournament Event can hold multiple TournamentCategory brackets — for example U12, U16, and Open — and each Fixture tracks a single match in that bracket: the round, the two participants, the scheduled time, the score, and the winner.
