Tuition Retention, Score Proof & Where to Invest: Closing the Loop

Stop guessing who left and what parents pay for. How TuitionDesk closes intervene→saved, shows 62%→78% proof, and points owners where fees and teaching pay off.

TuitionDesk Team··5 min read

Most tuition software stops at display: a risk badge, a report chart, a parent login. The owner still asks the same three questions at month-end:

  1. Did we save the student we messaged — or only send a WhatsApp?
  2. Can parents see proof that fees bought learning — not just attendance ticks?
  3. Where should we invest the next teacher hour and marketing rupee?

TuitionDesk’s latest value loops answer those questions with actions you can finish in the product — not another Excel tab.

The pain — owner, teacher, parent

Owner (often the first teacher)

  • Sees “at risk” names but has no record of who was intervened on and who actually stayed.
  • Fee reports show total collected, not which course or grade is worth growing.
  • Demo classes happen, but nobody knows which teacher converts leads into admissions.
  • Salary bonuses are gut feel — not tied to “N weak students improved.”

Teacher

  • Knows a child is weak at “maths” but not Fractions 4/5 missed on tagged assessments.
  • Impact feels invisible when owners only look at attendance %.
  • Practice notes go to parents with no closed loop back to “Saved / Left.”

Parent

  • Pays every month and still asks: “Is my child improving?”
  • Attendance alone is not enough — they want 62% → 78% style proof.
  • Weekly updates that only say “attended 4/5” feel hollow.

How TuitionDesk closes the loops

1. Intervene → Saved (retention with an outcome)

On Reports (when score projections are on), at-risk students appear first. Intervene logs a practice note, messages the parent, and opens a retention intervention.

Later you mark:

OutcomeMeaning
SavedStudent stayed / risk managed
ImprovedScores or risk moved the right way
LeftThey still left — learn and prioritise better next time

You stop measuring “messages sent” and start measuring students kept.

2. Score proof parents can trust (62% → 78%)

On the student’s Performance tab (staff and parent portal), TuitionDesk shows a plain first → latest graded test line when enough tests exist — for example 62% → 78%.

Weekly parent digests (Growth+) can include a short narrative with that proof, a focus topic, attendance, and a fee CTA — one message instead of three chats.

Parents do not need a dashboard lecture. One honest before→after number beats five charts they will not open.

3. Exact skills to practice (not “needs maths help”)

When assessments use tagged questions, Performance lists skill gaps such as Fractions: missed 4/5. Teachers plan the next worksheet from that — owners finally hear something concrete on PTMs.

4. Invest-here money views

On Reports → Basic (all plans):

  • Revenue by course — collected vs pending, so you know which programmes pay.
  • Revenue by grade — same lens by student grade.

On Enquiry (when enquiry management is on):

  • Lead conversion by demo teacher — demos → converted admissions.

On Analytics (Pro+):

  • Hours tutoring vs pass rate — present hours against tests at/above pass.
  • Teacher improvement with weak-student conversion and a suggested salary bonus you confirm on Teacher Salaries.

Monday owner habit (20 minutes)

  1. Open Reports — mark open interventions Saved / Improved / Left.
  2. Scan revenue by course — freeze marketing spend on courses that never collect.
  3. Check demo teacher conversion — put your best closer on next weekend demos.
  4. On Teacher Salaries, accept or edit the suggested bonus when a teacher converted weak students.
  5. Send one parent digest for a high-fee family with score proof in the narrative.

That habit turns software into cash + retention, not screenshots for Instagram.

Plan gates (what admin can enable)

TuitionDesk does not invent a parallel “Retention Studio.” Features ride existing plan toggles admins control:

If a tab is missing, check Admin → Plan configuration (platform) or your centre’s subscription — Help AI will say which feature is off and still explain how it works.

Solo centres: owner who teaches

Most centres start with the owner teaching. Create a Teacher with the same email, assign your classes, and use Continue as / Switch account when you need the teacher view. Ops (fees, reports org-wide) stay on the owner login. Retention intervene works from the projection panel when that feature is on your plan.

What this is not

  • Not a guarantee of board exam marks — projections and proof are from your recorded tests.
  • Not generative AI tutoring for the child.
  • Not a replacement for a human call when a family is in crisis — software prioritises; you still talk.
