UPI Autopay for Tuition Fees: How Coaching Centres Set It Up
How UPI Autopay works for monthly tuition fees: parent approval, pre-debit alerts, failed-debit fallback, the Rs 15,000 limit and plan availability.
Every month the same ritual: the fee is due on the 5th, you send reminders on the 6th, and by the 15th you are still chasing a handful of parents who "forgot". The money is rarely a problem. The reminder is.
UPI Autopay removes the monthly decision. The parent approves a recurring debit once, and each cycle's fee is charged on its own. This guide explains how it works in TuitionDesk, what it can and cannot do, and how to roll it out without surprising parents.
What UPI Autopay actually is
UPI Autopay is a recurring-payment mandate on the UPI rail. The parent approves it once in their UPI app, and the bank then allows the merchant to debit on a schedule. The parent can view, pause or cancel the mandate from their own UPI app at any time. You cannot lock a parent into it, and you should not try to.
In TuitionDesk, autopay is a setting on a fee plan, not a separate product. You create a fee plan the usual way, tick the autopay option, and parents get an approval link.
Autopay needs a payment gateway connected under Settings. TuitionDesk supports Razorpay or PhonePe for UPI Autopay. Stripe is supported for card-based autopay, for centres outside India where UPI does not exist.
Which fee plans can use autopay
Autopay only makes sense when the amount is the same every cycle. TuitionDesk allows it on fixed recurring plans and hides it on variable ones.
| Fee plan frequency | Autopay available? |
|---|---|
| Monthly | Yes |
| Quarterly | Yes |
| Half-yearly | Yes |
| Yearly | Yes |
| Every 4 weeks | Yes |
| Custom (a number of days) | Yes |
| Per session | No (amount varies) |
| Session pack | No |
Per-session and session-pack plans are excluded on purpose: a mandate with a fixed amount cannot match a bill that changes with the number of classes held. For those, keep using payment links and automatic fee reminders.
How it works, step by step
- Connect a gateway. In Settings, connect Razorpay or PhonePe (or Stripe outside India). This is the same gateway you would use to collect fees online.
- Open the fee plan for a class or a single student and tick UPI Autopay under Payment collection.
- Parents receive a WhatsApp link, plus an email if one is on file, asking them to approve the mandate in their UPI app.
- Each student gets their own mandate. A class plan does not share one mandate across students. Each parent approves their own child's debit.
- The amount comes from the student's own open fee. The recurring amount is read from that student's own next open fee for the plan, not a flat class rate, so per-subject or tiered batch pricing is respected.
- Parents get a pre-debit alert. The day before a debit, the parent is notified that the amount will be auto-debited for your centre's fees the next day. This 24-hour notice is part of how UPI mandates are meant to work, and TuitionDesk sends it for you.
- The fee is marked paid when the debit succeeds. The payment is recorded against the right fee, so receipts and reports stay accurate without manual entry.
The fee plan list shows a badge so you can see the state at a glance: Autopay pending, active, partial, failed or cancelled. "Partial" means some students in a class have approved and others have not.
What happens when a debit fails
Autopay will fail sometimes. A parent's account may be short on the due date, or the bank may decline. TuitionDesk handles this in two stages:
- While the gateway is still retrying, the failed attempt is logged for your records but the parent is not messaged on every attempt, so nobody is spammed.
- Once retries are exhausted, the mandate is marked failed. The fee stays outstanding, so it keeps appearing in your Outstanding list and in the normal reminder schedule. The parent also gets a distinct "autopay failed, please pay manually" message with a fresh payment link.
The practical result: a failed debit turns back into an ordinary unpaid fee, handled by the same follow-up routine you already use for fee defaulters. Nothing is silently lost.
Autopay does not guarantee payment. It removes forgetfulness, not insufficient balance. Keep your overdue reminders switched on.
The Rs 15,000 approval limit
For UPI mandates, a request above Rs 15,000 needs an extra OTP or biometric step in the parent's UPI app (an NPCI rule), or it cannot be approved. This does not apply to card autopay.
For most monthly fees this never matters. It can matter for quarterly, half-yearly or yearly plans, where one cycle's amount may cross the limit. Rules and limits can change, so check the current NPCI and gateway guidance before promising parents a smooth one-tap approval on a large amount.
If a large annual fee is the issue, a better design is a monthly or quarterly plan, which also keeps each debit small and easier on a household budget. See fee EMI and installment plans for structuring that.
Which plan do you need
Autopay is not available on the Free plan. It is available from Starter upward. Sending approval links to a whole batch in one action (bulk resend) is a Growth-and-above feature. Plan limits and prices can change, so check the pricing page and our plans explained guide for the current details.
Rolling it out without upsetting parents
Autopay is a trust conversation. A few habits help:
- Make it optional. Offer it as a convenience, and keep payment links working for parents who prefer to pay manually.
- Explain it in one message. "Approve once, and the monthly fee is paid automatically. You can cancel anytime in your UPI app." Send this before the approval link arrives.
- Start with one batch. Pilot it on a single batch for a cycle, watch the badges and any failures, then extend it.
- Tell parents the debit date. The pre-debit alert helps, but parents who know the date in advance rarely complain about it.
- Handle cancellations calmly. If a parent cancels the mandate, the fee simply returns to the normal collection flow.
Autopay vs payment links vs reminders
| Payment link + reminders | UPI Autopay | |
|---|---|---|
| Parent action each month | Open link and pay | None after the first approval |
| Best for | Variable or per-session fees, hesitant parents | Fixed monthly or quarterly fees |
| Risk | Parent forgets or delays | Debit fails on low balance |
| Fallback | Reminder schedule | Falls back to payment link and reminders |
Most centres end up using both: autopay for the parents who are happy to approve it, links and reminders for everyone else.
