Storefront Photos, Booking Reviews, and Equipment Rental on Your Public Site

Add real photos and video to your public booking pages, review a parent's booking before they're confirmed, and let parents rent equipment online — all on the same public site.

If you've already turned on public venue booking, class registration, or demo booking, three things just got better: those pages can now show real photos and video instead of a plain list, every public request goes through a quick staff review before a parent gets a "confirmed" email, and — brand new — parents can rent equipment directly from your site too.

All three are available on every plan tier that already has venue booking, class registration, or demo booking — no separate setup, and works for every institute type, not just sports/dance/music.

Photos and video: a storefront, not a text list

A parent choosing between three tuition centres in the same neighbourhood is comparing more than price. A public booking page that's just a name and a fee in a dropdown reads like a form, not a place you'd want to send your child. Now it doesn't have to.

What you can add, and where:

  • Venues — a photo of the court, room, or studio (Venues page → edit a venue)
  • Classes — a photo of the batch/session in action (Classes page → edit a class, in the public-listing section)
  • Equipment — a photo of the instrument, kit, or gear (Equipment page → edit an item)

Each also accepts an optional YouTube link — a short walkthrough, a sample class clip, or a demo of the equipment. Parents see a photo grid when they land on your booking page, and the video plays inline once they select that item.

Photos are capped at 2MB (PNG, JPG, or WebP) — plenty for a phone photo, not so much that your page loads slowly on a parent's mobile data.

Booking reviews: you see the request before they get a "confirmed" email

Every public booking — venue, class registration, demo, or equipment rental — used to confirm the moment payment cleared. That's still true for the booking and payment itself: capacity is still enforced in real time, and a paid registration still creates the student record immediately, exactly as before.

What's new is a lightweight review step layered on top, just for the customer-facing confirmation message. A public request now lands as "Awaiting review" on your staff page — Venue Bookings, Class Registrations, Demo Classes, or the new Equipment Bookings — with one-click Approve or Reject buttons. The parent's public page tells them their request is being reviewed, not that it's instantly confirmed.

Why this matters: a booking that arrives at 11pm for a slot you already know is double-booked, or a demo request from a number your front desk doesn't recognize, is worth a five-second look before a parent gets a confirmation email promising something you can't deliver.

What happens on Approve:

  • An existing parent with a portal account gets the full stack — a push notification, an in-app Updates feed entry, and an email.
  • A brand-new lead (no portal account yet) gets an email, since that's the only channel that reaches them at that point.

Nothing about this changes how payment works — approval is purely about when the parent hears "you're confirmed," not about your Finance records or seat/slot allocation, which happen exactly as they did before.

Equipment rental: your third public booking type

If your academy lends out instruments, sports kits, dance shoes, or any other gear, parents can now request a rental directly from your public site — the same self-service pattern as venue booking, but for a date range instead of a single time slot.

How it works for you:

  1. Open an item under Equipment, turn on "List publicly for online rental booking," and optionally set a flat rental fee.
  2. TuitionDesk blocks dates automatically: if the item is already booked for an overlapping range, or if it's currently checked out to a student and hasn't been marked returned, the public page won't offer those dates.
  3. Parents pick the item and date range from your site, pay through the same online/QR/pay-at-centre flow as every other public booking, and the request lands in your Equipment Bookings page for review.
Equipment rental has its own monthly volume limit per plan tier, same as venue bookings and class registrations — check Admin → Plans if you're unsure what your tier allows.
