Public Batch Registration & Paid Demo Booking for Tuition Centres

Let parents browse your classes, register, and pay online from your public site — and charge for demo bookings if you want. No manual follow-up needed.

Most coaching centre websites are a brochure. A parent reads about your classes, likes what they see, and then has to call, WhatsApp, or walk in to actually join — and that's exactly where interested parents quietly drop off. TuitionDesk closes that gap with two features that turn your public site into a real admissions channel: public batch registration and paid demo class booking.

Both work the same way your venue/turf booking already does: a parent picks what they want, pays online (your own Razorpay or Stripe, or your payment QR), and TuitionDesk takes it from there — no manual data entry, no back-and-forth to collect a registration fee.

Available for every kind of academy — academic tuition, sports, dance, music, or anything else. These are not sports/dance/music-only features.

Public batch registration: sell seats, not just show them

Today, most centres list their classes on the public site purely for information. A parent sees "Grade 10 Maths — Mon/Wed/Fri" and has no way to actually claim a seat without contacting you. Public batch registration fixes that.

How it works for you:

  1. Open a batch under Classes, turn on "List publicly for parents to register and pay online", and set a one-time registration fee (this is required before the batch can go public — think of it as an admission/joining fee, separate from the recurring monthly tuition you set up afterward).
  2. If the batch has a capacity, TuitionDesk enforces it in real time — once seats are full, the batch stops accepting new registrations. This is real capacity control, not just a display number.
  3. Parents visit your public site's enrol page, pick the class, and pay through whichever payment path you've configured: your own online gateway, your payment QR (scan and self-claim, then you verify), or pay-at-the-centre if you haven't set up online payments yet.
  4. The moment payment is confirmed, TuitionDesk automatically creates the student record, links the parent, enrols them in the batch, and records the fee in Finance — the same student you'd have created manually, just without you touching a keyboard.

How it works for staff:

Front desk can register a walk-in or phone enquiry the same way, from the Class Registrations page under the Classes menu — including marking it Paid on the spot for a cash payment. If a parent pays via QR and self-claims, that registration sits in "Awaiting confirmation" until staff verify it; it shows up in your daily Updates feed and triggers a push notification to the owner and branch admin, so nothing goes unconfirmed for long.

Batch registration volume is plan-gated like every other feature, with a monthly cap per tier — so a Free-tier academy testing the waters isn't the same limit as a Pro academy running real admissions season.

Paid demo class booking: make the first step count

Demo classes used to be entirely staff-driven — someone in your admissions pipeline manually schedules a demo after a lead comes in. That still works exactly the same way it always has. What's new is a public, self-service demo request with an optional fee.

If your centre wants to charge a small token amount for a demo class — a common way to filter for serious enquiries — set a demo class fee in Settings. Leave it blank or zero and demo booking stays exactly as free and simple as it is today; nothing changes for centres that don't want to charge.

When a fee is set, a parent requesting a demo from your public site pays through the same online/QR flow as batch registration. The date and time they pick is a preference, not a locked slot — your staff still confirm the exact time and can reschedule from the Demo Classes page under Admissions, exactly like any demo they'd schedule manually. You get the lead-qualification benefit of a paid demo without giving up control of your actual calendar.

Why this matters more than it looks

Both features quietly solve the same underlying problem: the gap between "parent is interested" and "parent is enrolled." Every extra step in that gap — a phone tag, a missed WhatsApp reply, a form that goes nowhere — is a parent who might enrol somewhere else instead. Letting them register and pay in one sitting, at 9pm on a Sunday when they're actually comparing centres, converts interest while it's still warm.

And because both flows create real records — a real student, a real parent, a real fee — none of it is a second system you have to reconcile later. It's the same student list, the same fee ledger, the same admissions pipeline you already use.

Getting started

  • Batch registration: Classes → open a batch → toggle public listing → set a fee.
  • Demo booking: Settings → set a demo class fee (or leave it free).
  • Staff visibility: Class Registrations (Classes menu) and Demo Classes (Admissions menu) both show payment status, with push notifications and Updates feed entries for anything awaiting your confirmation.

Neither feature requires a new integration or a separate payment account — it reuses whatever online payment method you've already configured for fee collection.
