WhatsApp Shared Inbox for Tuition Centres: Parent Replies

Parents reply to fee reminders on WhatsApp. Here is how a shared two-way inbox keeps those replies visible to your whole team instead of one phone.

TuitionDesk Team··7 min read

You send a fee reminder on Monday. By Monday evening a parent replies: "Will pay on Friday, please don't call." Where does that reply go? In most tuition centres it lands on whichever phone sent the message, usually the owner's or the receptionist's, and stays there. The teacher who needs to know, the counsellor who is chasing the same family for another child, and the owner who is on leave never see it.

A shared WhatsApp inbox fixes that one specific problem: replies to your centre's messages land in one place that your whole team can see. This guide explains why it matters, how the TuitionDesk WhatsApp Inbox works, and the limits you should know before you rely on it.

Why replies get lost on a personal phone

When a centre runs parent communication from one person's phone, four things go wrong over time:

  • Single point of failure. If that person is on leave, sick or has left, replies sit unread.
  • No record next to the student. A promise to pay "by Friday" lives in a chat, not beside the fee record it is about.
  • Double replies. Two staff answer the same parent differently, or nobody answers because each assumes the other did.
  • Staff turnover takes the history with it. When a receptionist leaves, so does the conversation history on their phone.

None of this is dramatic, but it is exactly the sort of friction that turns a small overdue fee into an awkward argument a month later.

A shared inbox is not a mass-messaging tool. It is for replies: what happens after a parent answers a message your centre already sent.

What the TuitionDesk WhatsApp Inbox does

The inbox is a page in the owner dashboard (under Activity, "WhatsApp Inbox"). When a parent, student or enquirer replies to a WhatsApp message TuitionDesk sent, the reply appears there for the team.

FeatureHow it works
Shared threadOne conversation per contact, visible to the centre's admin staff. Teacher logins do not have access.
Contact matchingThe sender's number is matched to an existing parent, student or enquiry record, so you see who it is, not just a number.
Unread markerConversations with new replies are highlighted, and the page refreshes itself every 20 seconds.
StatusEach conversation is Open, Claimed (by a named staff member) or Closed.
Claim on first replyThe first person to reply claims an open conversation. Release hands it back; Mark resolved closes it.
ReopenIf the contact writes again after you closed it, it reopens automatically.

Claiming, so two people do not answer the same parent

The first staff member to reply to an open conversation claims it, and their name shows on the thread. A teammate can still reply if they need to, and the original claimant is told that someone else also replied. Nothing is locked, but everyone can see who is on it.

The 24-hour window, explained simply

WhatsApp only allows free-form replies for 24 hours after the contact's last message. TuitionDesk follows that rule:

  1. A parent messages you. The window opens for 24 hours.
  2. Within that window you can type a normal reply.
  3. After it closes, free text is switched off and you need an approved template message to start the conversation again.

If a parent replies again, a fresh window opens. In practice this means: reply the same day. If a conversation has gone quiet for more than a day, the template route is the only one WhatsApp permits.

Replies sent from the inbox use your centre's WhatsApp credits. If the balance is exhausted, the reply is not sent and you are asked to top up. Check your balance before a busy fee week.

Plans and monthly limits

Two-way replies are not on the Free plan. Free centres can still run attendance, fees and the parent portal (the parent portal is on every plan), but WhatsApp sending is not part of Free. In the current plan configuration the WhatsApp Inbox is included from Starter upwards, with a monthly cap on conversations:

PlanConversations per month (plan configuration)
FreeNot included
Starter100
Growth300
Pro800
Enterprise2,500

A "conversation" here means a new 24-hour session starting in the month, not every individual message. A long-running thread with one parent that restarts three times in a month counts as three. If you go over, messages are still stored and never dropped, but they are hidden until next month or until you upgrade. Plan limits can change, so check the pricing page for current figures.

How to run it well: a simple routine

A shared inbox only helps if someone owns it. A routine that works for most small and mid-sized centres:

  1. Assign a daily owner. One person checks the inbox at the start and end of each day.
  2. Reply within the window. Aim to answer the same day so you stay inside the free-text window.
  3. Claim before you reply. If you are handling a fee conversation, reply so the thread shows your name.
  4. Resolve when it is done. A promise to pay, a rescheduled class or an answered enquiry should be marked resolved, so the Open list stays honest.
  5. Link back to the record. Fee promises should be noted against the student's fee record, so the next person knows.
  6. Review weekly. Look at what parents actually ask. Repeated questions are a sign your reminders or parent portal need clearer information.

What not to do

  • Do not use the inbox to push bulk promotional messages. It is built for replies and follow-ups.
  • Do not promise a reply time you cannot keep. Parents notice.
  • Do not share your login. Give each admin staff member their own so the "claimed by" name means something.

Where it fits with the rest of parent communication

The inbox is one part of a wider setup:

Used together, reminders go out automatically, routine questions are answered in the portal, and the replies that remain reach a person who can act on them.

Honest limits

  • It handles replies to messages TuitionDesk sent. It is not a general-purpose chat client for a personal WhatsApp account.
  • Teachers do not see it; it is for admin and owner roles.
  • Replies need WhatsApp credits and a plan that includes the inbox.
  • Contact matching works from phone numbers already on your parent, student or enquiry records, so keeping those numbers current improves it.

Try it

If your parent replies currently disappear into one phone, start by giving them a shared home. Create a TuitionDesk account, add your parents' phone numbers, and see the plans to check which tier includes the WhatsApp Inbox for your centre.
