Setting Up TuitionDesk in the UK

Select United Kingdom as your Country of Operation when creating your academy, and TuitionDesk configures itself:

The timezone setting is particularly important in the UK because clocks change between GMT and BST. TuitionDesk handles daylight saving automatically — your fee reminders go out at 9 AM local time regardless of the season.

If you set the wrong country during signup, update it at Settings → Academy → Country of Operation. Future formatting updates immediately; existing fee records keep their amounts.

Online Payments in the UK: Stripe

TuitionDesk uses Stripe for online payments in the UK. Stripe is one of the most established payment providers in the country — it powers hundreds of thousands of UK businesses.

Stripe in the UK supports:

  • Credit and debit cards — Visa, Mastercard, Amex (near-universal in the UK)
  • Apple Pay and Google Pay — used by a large portion of UK parents
  • BACS Direct Debit — for recurring monthly tuition fees
  • Open Banking payments — Stripe's UK bank transfer option
  • Link (Stripe's saved card service)

For UK tuition centres, Direct Debit through Stripe is particularly useful: parents authorise one mandate and fees are collected automatically each month. No reminders needed, no chasing. This works well for centres that charge a fixed monthly fee per subject or batch.

Connecting Stripe

  1. Go to Settings → Payments in your TuitionDesk dashboard
  2. Click Connect Stripe and link or create a Stripe account (free to register)
  3. Enable Direct Debit, cards, and Apple Pay
  4. Add your UK bank account (sort code and account number) for GBP payouts

Payouts arrive in your UK bank account within 2 business days.

If you prefer to collect by bank transfer manually, TuitionDesk supports manual payment recording too. Both work in parallel — some parents pay online, others pay by bank transfer, and everything is tracked in one place.

VAT and Tuition in the UK

Private tuition provided by individuals is VAT-exempt in the UK. If your centre is structured as individual tutor services, no VAT applies. If you operate as a company providing educational services, you may need to check your VAT obligations with HMRC.

TuitionDesk's receipts can be configured to include or exclude VAT. If you are VAT-registered and charging VAT on top of fees, the receipt shows the net amount, VAT amount, and total. If you are exempt, no VAT line appears.

GCSE, A-Level, and 11-Plus — Managing Multiple Exam Tracks

UK tuition centres often run multiple streams simultaneously. TuitionDesk handles this through batches — separate groups per subject and exam level. A centre might run:

  • GCSE Maths (Years 10–11)
