A complete reference of every alert, reminder, and notification that fires in TuitionDesk — when it goes out, who receives it, and which channel it uses.
When you add a student, teacher, or parent to TuitionDesk, you are not just creating a record. You are connecting them to a communication system that runs automatically in the background — sending the right message to the right person at the right time, without you ever needing to type a single WhatsApp.
This guide covers every notification TuitionDesk sends: what triggers it, who receives it, and which channels carry it.
Notification Channels
TuitionDesk delivers alerts on up to three channels simultaneously, depending on what you have configured:

A single event can fire on all three channels at once. If a parent has the app installed AND WhatsApp enabled, they get the push AND the WhatsApp message. You can fine-tune which channels fire under Settings → Notifications.
When You Add a Student
1. Welcome Message to Parent
Trigger: Student is added to your centre (and a parent is linked)
Recipient: Parent
Channels: Email, WhatsApp (if enabled)
The parent receives a welcome message that includes:
- The student's name and your centre name
- A link to download the TuitionDesk parent app
- Their login credentials (if a parent login was created)
This is the first handshake between your centre and the family.
2. Parent App Invite
Trigger: You create a parent login for the student's guardian
Recipient: Parent
Channels: Email, WhatsApp
The invite contains a secure link to set a password and access the parent portal — where they can see session history, homework, fee status, and more.
3. Batch Enrollment Notification
Trigger: Student is enrolled in a batch
Recipient: Parent
Channels: Push, WhatsApp, Email
The parent is notified that their child has been added to a class. The message includes:
- Batch name and subject
- Teacher name
- Class timing and days
- Mode (online / offline)
- If online: Google Meet link (when a meeting is connected)
When You Add a Teacher
4. Teacher Welcome Email
Trigger: Teacher account is created
Recipient: Teacher
Channels: Email
The teacher receives login credentials and a link to download the TuitionDesk teacher app. The email briefly explains what they can do — view assigned batches, mark attendance, post session notes, review homework.
5. Batch Assignment Notification
Trigger: Teacher is assigned to a batch
Recipient: Teacher
Channels: Push, Email
The teacher is immediately notified they have a new class assignment. The notification includes:
- Batch name and subject
- Schedule (days and time)
- Number of enrolled students
- Mode (online / offline)
When You Add a Parent
6. Parent Login Created
Trigger: You create a parent account (or link an existing parent to a login)
Recipient: Parent
Channels: Email, WhatsApp
Covered in #2 above — the invite with login credentials arrives the moment the account is created.
7. Student Linked Confirmation
Trigger: A student is linked to the parent's account
Recipient: Parent
Channels: Push, Email
The parent sees a notification confirming which student(s) are now visible in their portal. One parent can be linked to multiple students — siblings, cousins — and each link sends a separate confirmation.
Fee Notifications
Fee alerts are the most important communication loop in any tuition centre. TuitionDesk automates all of them.
8. Fee Created
Trigger: A fee record is created for a student (monthly, one-time, or registration)
Recipient: Parent
Channels: Push, Email, WhatsApp
The parent is notified that a fee has been raised:
- Amount
- Due date
- Fee type (monthly tuition / registration / other)
- Payment instructions (UPI link, QR code, bank details — if configured in Settings)
9. Fee Due Reminder — 3 Days Before
Trigger: Automatic, runs daily at 9 AM (in your centre's timezone); fires when a fee's due date is exactly 3 days away
Recipient: Parent
Channels: Push, WhatsApp, Email
A polite advance notice. Gives families time to arrange payment before the deadline.
Message includes:
- Student name, fee amount, due date
- Payment link / QR code / bank details
10. Fee Overdue Reminder — Daily After Due Date
Trigger: Automatic, runs daily at 10 AM (in your centre's timezone); fires every day a fee is unpaid or partially paid past due
Recipient: Parent
Channels: Push, WhatsApp, Email
Escalates daily until the fee is cleared. Built-in cooldown prevents the same parent from getting duplicate messages within a single day.
11. Fee Paid — Confirmation to Parent
Trigger: You mark a fee as paid (cash, bank transfer, or Razorpay/Stripe payment confirmed)
Recipient: Parent
Channels: Push, Email
The parent gets a digital receipt:
- Amount paid
- Date of payment
- Payment mode
- Outstanding balance (if partial)
- PDF receipt attachment (email)
12. Fee Paid — Summary to Owner
Trigger: A fee payment is recorded
Recipient: Owner / admin
Channels: Push
The owner gets a quick summary: which student paid, how much, and what the outstanding balance is now. No need to open the app to know money came in.
13. Partial Payment Acknowledgment
Trigger: A partial payment is recorded against a fee
Recipient: Parent
Channels: Push, Email
Confirms the amount received and shows what is still outstanding, with a new payment link if configured.
Class Session Notifications
14. Session Starting Soon (Pre-Class Alert)
Trigger: Configured pre-class window (e.g., 30 minutes before session start); runs automatically
Recipient: Parent, Teacher
Channels: Push
Both teacher and parent receive an alert that class is about to begin. For online batches with Google Meet, the notification includes the Meet link so parents and students can join in one tap.
15. Session Completed — Class Summary to Parent
Trigger: Teacher marks a session as completed OR session status is auto-updated
Recipient: Parent
Channels: Push, Email
The parent is notified the class is done. If the teacher posted session notes ("what was taught today"), those are included. Parents know exactly what topic was covered without needing to ask their child.
16. Session Notes Posted
Trigger: Teacher submits session notes for a completed class
Recipient: Parent
Channels: Push
A dedicated push alert that session notes are available. Parents can open the app and read what was covered, any observations the teacher noted, and what the student should prepare for next time.
17. Session Rescheduled or Cancelled
Trigger: A scheduled session is moved or cancelled
Recipient: Parent, Teacher
Channels: Push, WhatsApp, Email
Critical timing change — goes on all three channels to ensure nobody shows up for a class that no longer exists or has moved.
Attendance Notifications
18. Student Marked Absent
Trigger: Teacher marks a student absent in the session
Recipient: Parent
Channels: Push, WhatsApp
The parent is immediately notified that their child was not present in class. Useful for flagging unannounced absences — parents who assumed the child attended but didn't can follow up quickly.
19. Low Attendance Alert
Trigger: Student's attendance falls below the threshold set in Settings (e.g., below 75%)
Recipient: Owner, Parent
Channels: Push, Email
The owner gets an alert to follow up. The parent is informed that attendance is low and advised to ensure regular attendance. This is part of TuitionDesk's student retention early-warning system.
Homework Notifications
20. Homework Assigned
Trigger: Teacher creates a homework task for a batch
Recipient: Parent (for each enrolled student)
Channels: Push, WhatsApp
The parent sees what homework has been assigned:
- Subject and topic
- Due date
- Instructions or description
- Attached files (if any)
21. Homework Due Tomorrow
Trigger: Automatic, night before a homework due date
Recipient: Parent
Channels: Push
A nudge the evening before so parents can check that the child has completed the assignment.
22. Homework Reviewed by Teacher
Trigger: Teacher marks homework as reviewed and posts feedback
Recipient: Parent
Channels: Push
The parent sees the teacher's feedback — score, remarks, suggestions. Closes the loop on learning without a separate parent-teacher call.
Assessment and Progress Notifications
23. Assessment / Quiz Published
Trigger: Teacher publishes a quiz or test for a batch

The parent knows a test is coming up and can help the student prepare.
24. Assessment Result Available
Trigger: Teacher submits marks / results for an assessment

Owner and Admin Alerts
26. New Enquiry Received
Trigger: A new enquiry is submitted via your embedded enquiry form or added manually

The owner is notified the moment a prospective student or parent fills the enquiry form — so they can follow up while the lead is warm.
27. Student Dropout Risk Detected
Trigger: TuitionDesk's dropout risk model flags a student (low attendance + no homework submissions + fee defaults)

An early-warning alert so the owner can intervene before the family quietly stops coming. The alert shows which signals triggered the risk flag.
28. Daily Fee Collection Summary
Trigger: Automatic, end of day
Recipient: Owner

A daily snapshot: total collected today, outstanding balances, number of overdue fees. Lets the owner track cash flow without manually pulling a report.
Google Meet / Online Class Notifications
When a batch is set to online mode and Google Calendar is connected to your centre, TuitionDesk creates Google Meet links automatically and delivers them to every stakeholder.
29. Google Meet Link — On Batch Creation
Trigger: Online batch is created / synced to Google Calendar
Recipient: Teacher, Parents (via Google Calendar invite)
Channels: Google Calendar invite (email), In-app batch detail, Push
All parties receive a calendar event with the Meet link. One click to join — no link sharing in WhatsApp groups needed.
30. Google Meet Link — In Pre-Class Alert
Trigger: Same as #14 (session starting soon)
Recipient: Parent
Channels: Push
The pre-class push notification for online batches includes the Meet link directly, so the parent can hand the phone to the student for immediate one-tap join.
How to Configure Notifications
All notification settings live under Settings → Notifications in TuitionDesk.
You can control:
- Which channels are active (push / WhatsApp / email — per notification type)
- Whether fee reminders go to parent only, or also to the student
- The pre-class alert window (15 min / 30 min / 1 hour before)
- Whether daily fee summaries are sent to the owner
- Low attendance threshold (default 75%)
WhatsApp credits:
WhatsApp messages consume credits from your balance. Push and email notifications are free and unlimited. If your WhatsApp credits run out, TuitionDesk falls back to push and email automatically so nothing is missed.
