Teacher Payroll in TuitionDesk: Salaries, Deductions, Payslips

Managing teacher salaries has always been one of the quieter headaches in running a coaching centre. Fee collection has software. Attendance has software. But payroll — the part where you owe your teachers their salary at the end of every month — was often a spreadsheet, a WhatsApp message, and a hope that you remembered who got what deduction.

TuitionDesk's Payroll feature changes that. It is now live for centres in India, Malaysia, Singapore, and Sri Lanka, with the full payroll loop built into the same platform you already use for fees, attendance, and batches.


What payroll does today

Bulk salary generation

Instead of calculating each teacher's salary separately, TuitionDesk generates payroll for all your teachers in one run. Set up each teacher's salary structure once — their base pay, any fixed allowances — and the system handles the monthly calculation from there.

Bulk generation means payroll for a team of five or fifteen takes the same number of clicks as payroll for one.

Statutory deductions per country

Tax and contribution obligations differ by country, and they differ significantly. TuitionDesk applies the correct statutory deductions for your organisation's registered country — not a one-size-fits-all approximation.

The country is resolved from your organisation's settings, so a Malaysia centre gets Malaysian deductions automatically — no manual selection, no risk of running India defaults on a Kuala Lumpur payroll.

This was a meaningful fix. Before this, country defaulted to India regardless of where the centre operated. That is now resolved: every organisation gets its own country, and payroll deductions follow from there.

Approval workflow

Payroll is not a fire-and-forget operation. A salary run that goes out with an error is harder to unpick than one that was reviewed first.

TuitionDesk includes an approval step between generation and payment. The owner reviews the calculated run — total amounts, per-teacher breakdown, deductions — before it is marked as paid. If something looks wrong, it can be corrected before any commitment is made.

This is the same discipline most serious payroll systems follow: draft → review → approve → record.

Payslip PDF

Every teacher gets a payslip. Once a payroll run is approved, TuitionDesk generates a PDF payslip for each teacher showing their gross salary, each deduction with its name and amount, and their net take-home pay.

This matters for two reasons: it is what your teachers expect, and it is what tax authorities sometimes ask for. A paper trail that lives in your TuitionDesk account rather than in a folder on someone's laptop.


How to run payroll

  1. Go to Teacher Salaries in the app
  2. Confirm salary structures are set for each teacher
  3. Generate the payroll run for the month
  4. Review the draft: check totals, deductions, and any anomalies
  5. Approve the run
  6. Download and share payslip PDFs with your teachers

The first run takes a little longer because you are setting up salary structures. Subsequent months take minutes.


Which plan includes payroll?

Payroll is available on Pro and Enterprise plans. If you are on a lower plan and want to run teacher payroll, you will need to upgrade. Go to Settings → Plans to see your options.


Country coverage

TuitionDesk currently supports payroll for organisations in India, Malaysia, Singapore, and Sri Lanka. The statutory deduction rules for each country are maintained inside the platform — you do not configure them manually.

If your centre operates in a country not yet listed, the payroll feature is not yet available for your region. Support for additional countries is on the roadmap.


What's next

The current payroll feature covers teachers. One piece the owner has flagged for a future release: extending payroll recipients to non-teaching staff — branch admins, counsellors, and owners who pay themselves through the system. That is a separate story and will not hold up what is already live, but it is coming.
