How Teachers Can Contact Parents in TuitionDesk

A complete guide to teacher-parent communication in TuitionDesk — session notes, PTM scheduling, announcements, and what is permission-gated by plan.

One of the most common questions from tuition centre owners setting up TuitionDesk is about teacher-parent communication: Can my teachers contact parents directly? Can parents give feedback about a teacher? Is any of this controlled or permission-gated?

The short answer: yes to all three — and the level of access follows both your plan and your role. This article walks through every channel teachers have for reaching parents and getting feedback, so you know exactly what is possible and what requires a plan upgrade.

What Teachers Can Always See

When a teacher logs into TuitionDesk, they can view the parent contact information linked to any student in their classes. This includes the parent's name, phone number, and email address. There is no gate on viewing this information — it is basic context a teacher needs to do their job.

If a teacher needs to call a parent about a student who has been absent three days in a row, they can find the number directly from the student's profile. No need to ask the owner to look it up.

Channel 1: Session Notes → Notify Parents

Available from: Starter plan and above

After every class, teachers can write session notes — what was covered, what PDF materials were shared, homework assigned. When session notes are completed, there is a Notify parents (Resend notes) button that sends the note to parents of every student in that batch via email and WhatsApp.

This is the most practical everyday channel. A teacher finishes a session on Quadratic Equations, uploads the notes PDF, and taps Notify — every parent whose child was in that class gets the materials in their WhatsApp within seconds.

Session notes with parent notifications replace the need for teachers to individually message parents about class content. One send covers the whole batch.

The WhatsApp notification includes a link. Parents tap it and open the notes on the parent portal — no app download required.

Channel 2: Announcements to Parents and Teachers

Available from: Growth plan and above

Teachers can send announcements to parents, to other teachers, or to both at once. Go to Activity → Announcements → New Announcement.

When creating an announcement, the teacher chooses:

  • Send to: Parents / Teachers / Parents & Teachers
  • Scope: Whole centre / This branch / Specific classes
  • Channels: Email, WhatsApp (if enabled for your centre)

Parents see matching announcements in their parent portal Updates feed. Teachers get email, WhatsApp, and app push.

A key point: Teachers-only announcements do not appear in the parent portal. If a teacher sends an internal note to the teaching team, parents will never see it. The scope is controlled precisely.

Owners and branch admins can also send announcements. The feature works the same way for all roles — the difference is scope: teachers are limited to their classes when sending to specific classes.

Channel 3: Parent-Teacher Meetings (PTM)

Available from: Growth plan and above, with Parent portal enabled

This is the most structured communication channel. Teachers can schedule Parent-Teacher Meetings directly from Activity → Parent-Teacher Meetings.

When a teacher schedules a PTM:

  1. They pick the class, date, time, and an optional location or video meeting link
  2. Notifications go to all parents of students in that class — email, WhatsApp, SMS (if enabled), and app push
  3. Parents see the meeting on their child's Plan tab in the parent portal and can RSVP: Yes / Maybe / No
  4. The teacher sees RSVP counts on the PTM list

Parents Can Also Request Meetings

Parents are not passive in this system. From the parent portal, a parent can Request a meeting with the teacher — they pick a preferred date and write a reason. This request appears at the top of the PTM page for the teacher (and owner) to Acknowledge, Schedule, or Decline.

This creates a two-way conversation without requiring either side to exchange personal contact details outside the platform.

PTM meetings also show on the Sessions calendar overlay for the relevant month — so teachers see their teaching schedule and parent meetings in one view.

Channel 4: Parent Digest (Feedback Loop via Reports)

Available from: Growth plan and above

The parent digest is a performance summary that an owner or teacher can preview and send to individual parents from the student's profile. It includes:

  • Score proof — first to latest test percentage (e.g. 62% → 78%)
  • Attendance summary
  • Focus topic recommendations
  • Fee CTA (if there is an outstanding balance)

This is not a two-way message — it is a structured report. But it is the most valuable thing a teacher can send a parent because it shows learning progress in concrete numbers, not just "doing well" or "needs improvement."

What Is Not Yet Available

Two things that centre owners sometimes ask for:

Per-teacher permission to contact parents. Right now, all teachers in the system can use every communication channel available on the plan. There is no toggle to say "Teacher A can send announcements but Teacher B cannot." If you want to restrict a teacher, the current approach is to use their role scope (teachers only see and communicate about their own classes) rather than toggling individual features on and off.

Direct WhatsApp or SMS from teacher to individual parent. TuitionDesk's notifications go through the platform — they are logged, structured, and tied to a fee record, attendance event, or session. A teacher cannot open a free-text WhatsApp chat with a specific parent inside TuitionDesk. For that, the teacher would still use their phone. The platform handles the structured, auditable communication.
