Teacher Leave, Parent Portal & Plan Guide for Tuition Centres

What “Teacher Portal” actually gives you (Starter+)

On Starter and above, a teacher is not borrowing your password.

They can:

  • Open their own schedule
  • Mark class attendance for their batches
  • Work inside the centre’s day without seeing fee ledgers you did not grant

That alone cuts a huge risk: former teachers who still know the owner login.

Starter limits (today): up to 75 students, 1 teacher, 3 batches, at ₹499/month.

If you need five teachers and parent self-serve, you are already looking at Growth — not a bigger Starter.


What “Parent Portal” actually gives you (Growth+)

On Growth and above, parents stop treating your phone as the help desk.

They can check fees, attendance, and centre updates themselves. You invite them once from the student record; they use a secure login on phone or browser.

Growth is also where admissions CRM, enquiry management, and the executive dashboard turn on — because growing centres usually feel parent noise and lead leakage at the same time.

WhatsApp notifications are not a Growth exclusive: they are available on all plans (including Free and Starter) once enabled in Settings.

Growth limits (today): up to 150 students, 5 teachers, 10 batches, at ₹999/month.

If your biggest weekly pain is “parents calling about fees and attendance,” upgrade for Parent Portal on Growth — not for Enterprise AI slides.


Teacher leave without the late-night text (Growth+)

Here is the old loop:

  1. Teacher messages you on WhatsApp.
  2. You half-remember which batches they teach.
  3. You scramble for a substitute.
  4. Parents find out when the class is cancelled.

Here is the TuitionDesk loop on Growth+:

  1. Teacher submits Request Leave with dates and reason.
  2. You see it on Teacher Leave and in Needs you (Updates).
  3. You get push (phone app + browser) and centre email when a request lands — so you do not have to stare at the screen all day.
  4. You approve or reject. The teacher is notified the same way.
  5. On approve, you can note salary impact and see which class sessions are at risk.

No more “Did you approve my leave?” follow-ups.


Teacher attendance: know who actually showed up (Growth+)

Student attendance is not enough. If a teacher is absent and nobody is told, batches fail silently.

On Growth+, owners mark Teacher Attendance — present, absent, late, on leave, or substitute. Marking Absent alerts the owner/staff and the teacher (and the substitute if you named one).

That is how you stop discovering a no-show only when parents start calling at 6:05pm.


Invitations and auto-replacement (Enterprise)

When leave is approved and you have Auto Teacher Replacement (Enterprise), TuitionDesk can create ranked teacher invitations for cover. The first-choice teacher gets push, email, and WhatsApp-style outreach so they can accept or decline. When they respond, the centre is notified — including email to your centre inbox when configured.

Growth gives you the leave and attendance discipline. Enterprise adds the “find cover without a group chat” layer.

How to roll this out in one week

  1. If teachers share your login today → move to Starter and create teacher accounts.
  2. If parents still call for fees/attendance → move to Growth, invite parents to the Parent Portal, turn on leave + teacher attendance habits.
  3. Train one ritual: leave requests only through the app; no informal “I’ll message you later.”
  4. On Growth: approve leave the same day — teachers now get a real decision notification.
  5. On Enterprise: enable auto-replacement only after teacher availability and subjects are filled in — otherwise invitations have nothing smart to match.

What this is not

  • It is not a replacement for talking to your team. It replaces the forgotten promise and the silent absence.
  • Parent Portal does not mean every Pro teaching tool appears on Growth. Homework engines, full session-notes libraries, and assessment engines are Pro+.
  • Enterprise AI is for institutes that already run clean leave, attendance, and parent data — AI cannot invent cover teachers you never added to the system.

Bottom line for owners

  • Starter = teachers work in the system.
  • Growth = parents self-serve, and teacher leave/attendance become process — with real push and email alerts.
  • Pro = multi-branch + deeper teaching product.
  • Enterprise = auto-coverage and AI operations when the centre is too big for one owner’s memory.
