Student & Teacher ID Cards for Your Tuition Centre

What a tuition centre ID card should show, why it matters, and how to print branded student and teacher ID cards from TuitionDesk (Growth plan and above).

TuitionDesk Team··6 min read

A tuition centre does not need a school-sized security office. But once you have 50 students across several batches, a few teachers, and parents who drop children at the gate, a simple ID card solves real problems: the front desk can tell who belongs, a child has something to show on the way in, and the centre looks organised the first time a parent visits.

Most owners solve this with a Canva template and a spreadsheet, then redo it every time a student joins. This guide covers what an ID card should carry, what to avoid printing, and how TuitionDesk generates student and teacher cards from the records you already keep.

Why a tuition centre ID card is worth the effort

  • Front-desk clarity. Staff can match a face to a name and ID quickly, especially for new joiners in a large batch.
  • Safer pick-ups. The card carries the centre's phone number, so anyone who finds a lost card knows who to call.
  • Trust with parents. A branded card with your logo signals a proper institution, which matters when parents compare centres.
  • Teacher identification. Visiting and part-time faculty are easier to recognise for parents and for security at shared premises.
  • Consistent IDs. One format, one numbering scheme, no duplicates.
An ID card is an identity aid, not a legal document. Do not describe it as a government-recognised ID, and do not use it to replace any document your local rules require.

What to put on a student ID card

Keep the card short. Every extra line is something that can go out of date or expose personal data if the card is lost.

What to put on a teacher ID card

Teacher cards are simpler: name, photo, staff ID, centre name, joining date, validity, and the centre's contact details. A visible card is also a useful routine for parents who have never met a new tutor.

How TuitionDesk generates ID cards

TuitionDesk builds the card from the student or teacher profile, so there is no re-typing. Based on the product as built:

  1. Add a photo and details to the profile. The card uses the person's name, custom ID, profile photo and joining or enrolment date from their profile.
  2. Upload your centre logo on the organisation page. The same logo is used on receipts and ID cards.
  3. Pick a style. In the organisation settings you can choose between Premium (gradient background, rich colours) or Minimal (white card with a coloured border). If you have set an academy colour scheme, the card follows it.
  4. Download. Open a student's profile and use Download ID Card to get a PDF. Teacher cards work the same way. For centres with several locations, the card can print the branch name.
  5. Parents can download their child's card from the parent portal when the centre's plan includes ID cards.

Student cards can also show the student's school and phone number when those are recorded, and each card carries a validity period that TuitionDesk sets to a year from the joining date.

Custom IDs keep cards tidy

TuitionDesk supports custom sequential IDs (for example STD1, TUT1). When a custom ID exists, the card prints it; otherwise it falls back to a short system ID. If you want clean numbers on cards from day one, set up custom IDs before you print the first batch.

Which plan includes ID cards

According to the plan configuration in the product, ID card generation is included on Growth, Pro and Enterprise, and is not included on Free or Starter. Profile photos are available on every plan, so you can collect photos early and print cards when you upgrade. For current plan limits and prices, see the pricing page and our plans explained guide.

A simple ID card routine for your centre

  1. Collect photos at admission. Ask for a recent passport-style photo with the admission form, or take one at the desk. Square, well-lit photos print best.
  2. Enter the profile once. Name, date of birth, emergency contact. These feed the card and the rest of the system, including attendance and fee reminders.
  3. Print in batches. After each admission window, download the new cards together and laminate them.
  4. Set a validity date and re-issue yearly. An expired card is a reminder to check contact details.
  5. Replace lost cards quickly. Re-download from the profile; the number stays the same.
  6. Retire cards for students who leave. Keep records accurate, and look at why students leave in our guide on reducing dropout.

Privacy checklist before you print

  • Print only what the front desk actually needs.
  • Get parental consent for photos of minors, and explain why you collect them.
  • Do not print a home address.
  • Tell parents what to do if a card is lost.
  • Keep documents in the system, not in shared phone galleries. See teacher login and separate access.

Are ID cards available on the Free plan? No. ID card generation is included from the Growth plan upward; photos can be collected on every plan.

Does the card include a scannable QR code or barcode? No. The card shows the ID number and details printed on it. Attendance is recorded in the app, not by scanning the card.

Can I change the card design? You can choose Premium or Minimal, add your logo, and use your academy colours. Fully custom layouts are not offered.
