Fix Fee Mistakes: Reverse, Void and Waive in a Tuition Centre
Wrong amount entered? Parent asks you to drop the late fee? How to reverse a payment, void a fee line and waive a late fee with a reason and an audit trail.
Every tuition centre eventually records a payment against the wrong student. Or a parent whose child was ill for a month asks you to drop the late fee. Or a fee line was created for a batch the student already left. The question is not whether this happens, it is whether you can fix it without deleting history and without your accounts becoming a guessing game.
In TuitionDesk there are four separate tools for this, and each does a different job. Picking the right one is most of the skill.
The four fixes at a glance
| Situation | Use | What happens to the fee line |
|---|---|---|
| Payment recorded by mistake (wrong student, wrong amount) | Reverse payment | Paid amount is undone, the due returns to Outstanding |
| The fee should never have been charged | Void fee line | Line becomes Waived and leaves Outstanding totals |
| Voided by mistake | Restore | Line returns to collectible dues |
| Late fee is unfair in this one case | Waive late fee | Only the late fee goes to zero, tuition stays due |
Reverse payment: undo a payment you recorded wrongly
Use this when money was entered incorrectly, for example Rs 3,000 posted to the wrong sibling. On the Fees, Transactions page, a paid or part-paid line shows a Reverse button.
The confirmation screen tells you exactly what will change:
- The paid amount and payment allocations are undone.
- The receipt number is cleared when the paid amount returns to zero.
- Other fee lines recorded in the same payment batch are reversed too.
- The due goes back to Outstanding, so you can record the correct payment straight away.
That batch behaviour matters. If a parent paid for two children in one go, reversing one line reverses the whole payment, which is what you want when the entire entry was wrong.
A reason of at least three characters is required. That is deliberate: "typo, posted to wrong student" is far more useful to you six months later than a blank.
Void: the fee should not exist
Reverse fixes a payment. Void fixes a charge. If a student left the batch before the month started, or a duplicate line was generated, voiding takes it out of what you are trying to collect.
- The line status becomes Waived and leaves Outstanding and collectible totals.
- The plan's collection percentage ignores the line.
- If money had already been recorded on the line, it is reversed first, and the confirmation button reads Reverse payment & void. Nothing is left as orphan paid money on a voided line.
- A reason is required, and the history is kept.
Voided lines are not hidden. The Transactions page has a Waived filter and a count of voided lines, so you can see everything you have written off.
Restore: you voided the wrong line
Voiding is not a one-way door. A voided line shows Restore, which puts it back into Outstanding (as pending, partial, overdue or paid, depending on the amount recorded against it). Again, a reason is required and the action is logged.
Two practical notes from the confirmation screens:
- If leftover payment money is still on a voided line and that payment was a mistake, clear the payment first, then restore.
- If the amount itself was wrong, restore the line and then edit the amount rather than voiding and recreating it.
Waive late fee: forgive the penalty, not the tuition
Late fees can be set on a fee plan as a percentage, a fixed amount, or both, with a grace period. The fee is added once to an unpaid line after the due date and grace period have passed, and the parent is notified. See our guide to managing fee defaults for how to set the policy.
Policy is for everyone. Exceptions are for one family. Waive late fee appears on a line that carries a late fee and is not yet paid:
- The late fee on that line becomes zero.
- It will not be charged again on that line.
- The tuition amount stays due.
- If payments already made now cover the whole line, the line is marked paid.
- The reason you enter is stored in the audit log.
This is the answer to "can I waive a fee for one situation and keep the rule for everyone else?" Yes: you waive per line, and the plan's rule is untouched.
A simple rule set for your front desk
Staff who can edit fees can undo them, so agree the rules before there is a dispute.
- Always write a reason someone else could understand. "Paid by cheque, bounced" beats "error".
- Reverse before you re-enter. Never record a second payment on top of a wrong one.
- Waive late fees only with the owner's okay, and note who approved in the reason.
- Review the Waived filter monthly. A growing pile of voided lines can mean a process problem upstream, such as fee plans assigned to the wrong batches.
- Check the receipt. After a reversal, the old receipt number is cleared, so re-issue a digital receipt after recording the correct payment.
Who can do this
These actions require the fee-update permission on your account, and fees belonging to a branch are limited to people with access to that branch. The actions are available through the fees screens; check the pricing page for what your plan includes.
What this does not do
Be clear about the limits so nobody is surprised:
- Reversing a payment does not refund money to a parent. It corrects your records. Any refund is handled by you outside TuitionDesk.
- Waiving a late fee does not change the plan's late-fee rule for other students.
- A voided line is a write-off in your records, not a tax or accounting adjustment. Talk to your accountant about how to treat it. Our GST and invoicing basics article covers the invoicing side.

Keep your fee records honest and fixable
A fee ledger you cannot correct gets abandoned for a spreadsheet. A ledger you can correct without erasing history stays trustworthy. Reverse, void, restore and waive give you four precise tools instead of one dangerous delete button.
