Reschedule or Cancel a Tuition Class Without the WhatsApp Chaos

How TuitionDesk handles a rescheduled or cancelled class: holiday and clash checks, parent and teacher notices, per-session fees, and Google Calendar.

TuitionDesk Team··5 min read

A teacher falls ill at 7 a.m. A school declares a sudden holiday. A hall is double-booked. Every tuition centre moves or cancels classes, and the usual fix is a flurry of WhatsApp messages: some parents miss it, one child turns up anyway, and the fee ledger no longer matches what actually happened.

This guide explains what TuitionDesk does when you reschedule or cancel a single class session, what it checks before it lets you, who gets told, and what happens to fees. It also says plainly what it does not do.

Reschedule vs cancel: which one to use

SituationUseWhat the record shows
Same class, new day or timeRescheduleStatus becomes Rescheduled, with the new date and time and your reason
Class will not happen at allCancelStatus becomes Cancelled, with your reason
Whole centre closed (festival, vacation)Holiday calendarSessions are skipped, not cancelled one by one

In both cases the original date and time are kept on the session, so you can always see what it was before the change.

What a reschedule checks before saving

Rescheduling is not just editing a date. TuitionDesk refuses the change in these cases:

  • The new date is a holiday. It matches weekly offs, specific dates, public holidays and date ranges from your holiday list, and tells you which holiday blocked it.
  • The teacher is already teaching. If teacher double-booking prevention is on, a clash at the new time is rejected with a conflict message.
  • A student is already in another class. If student double-booking prevention is on, the same applies for the batch's students.

Both clash checks are organisation-level settings and are on by default in the code. If you have switched them off, TuitionDesk will not stop you, so decide deliberately.

Reschedule only moves the one session you picked. The rest of the batch's timetable is untouched.

What a cancellation does

When you cancel a session, you give a reason, and TuitionDesk then:

  1. Marks the session Cancelled and keeps the original date and time.
  2. Waives any per-session fee line for that session (see below).
  3. Notifies the teacher, the students and their parents.
  4. Removes that one occurrence from a connected Google Calendar, when the batch has a calendar event.

A session that is already cancelled cannot be cancelled again.

Who gets told, and how

You do not write a message. On both actions TuitionDesk sends:

  • An email to the batch teacher, to students who have an email address, and to parents.
  • A push notification to the teacher and to parents using the app or the parent portal. A cancellation reads "Class cancelled" with the date and your reason. A reschedule reads "Class rescheduled" with the new date.

Notification failures never undo the change. If email is down, the session is still updated, so check that a notice went out for anything urgent.

This is a notice to the people on the batch roster. It does not send WhatsApp messages by itself. For WhatsApp reminders about upcoming classes, see class reminders for teachers and parents.

What happens to fees

This is where manual handling usually goes wrong. If a batch charges per session, each class has its own fee line:

  • Cancel: the fee line for that session is waived, so parents are not billed for a class that never happened.
  • Reschedule: the fee line's due date moves to the new date. If a fee line for the same student and batch already exists on the new date, TuitionDesk skips the move rather than creating a confusing duplicate.

Monthly and other non-per-session fees are not changed by a single cancelled class. If you promise make-up classes or credits for monthly batches, handle that in your own policy. For how fee types work, read the complete fee collection guide.

Google Calendar, Zoom and Meet

If the batch is linked to Google Calendar and the account is connected, a reschedule moves that occurrence to the new date and time, and a cancel removes that occurrence only. This is best-effort: if the calendar is disconnected or a quota is reached, the reschedule or cancel itself still succeeds and the calendar is not updated. Online meeting links are synced for the session too; see what syncs with Zoom and Google Calendar.

A simple routine for your centre

  1. Decide reschedule or cancel as soon as you know. Parents plan around the first notice.
  2. Always write the reason. It appears in the notice and the session history.
  3. If the reschedule is refused, read the message: it names the holiday or the clash.
  4. For per-session batches, glance at the fee view afterwards to confirm the waiver or new due date.
  5. For same-day changes, confirm with a call or message for anyone who may not check the app.

What this does not do

  • It does not change a whole recurring series. Each action applies to one session.
  • It does not send WhatsApp messages as part of the cancel or reschedule notice.
  • It does not let you cancel a session twice; an already-cancelled session is refused.

Plan availability for scheduling features can differ, so check the pricing page for what your plan includes.
