Pause a Fee Reminder for One Parent: Hold and Resume
A parent says they paid, or asked for time. Here is how to stop automatic fee reminders for that student only, for up to 14 days, without turning reminders off.
It is 8:55 AM. A parent messaged you last night: "Sir, I paid on Saturday, the money is in transit." At 9 AM the automatic reminder fires and the same parent gets a "your fee is overdue" message. They are annoyed, you are embarrassed, and now you are writing an apology.
Automatic reminders are the right default for a tuition centre. But every owner and tutor needs a way to say "not this one, not today". TuitionDesk's Hold reminders control does exactly that, for one student at a time.
The problem with all-or-nothing reminders
Most fee tools give you two choices: reminders on for everyone, or off for everyone. Neither fits real life.
- The parent who already paid but whose payment you have not recorded yet (bank transfer in transit, cash handed to a teacher).
- The parent who asked for a week after a family emergency or a delayed salary.
- A negotiated arrangement where you agreed to collect the balance on a specific date.
- A sibling dispute or a billing error you are still sorting out.
Turning reminders off for the whole centre to protect one parent means 60 other parents stop getting nudges. Sending nothing and hoping is worse. The goal is a precise pause.
How Hold reminders works
On the Outstanding fees page, each student with pending fees has a Hold reminders button next to the Remind button.
- Open Fees, then Outstanding.
- Find the student.
- Tap Hold reminders. The button changes to Held by you · Resume.
- When the situation is resolved, tap Resume to put the student back into the normal reminder schedule.
Holding applies to all of that student's pending fees in one tap. It covers fees in pending, partial or overdue status. A fee that is already paid cannot be held, since there is nothing left to remind about.
What a hold does, and does not do
| Question | Answer |
|---|---|
| Are automatic "coming soon" reminders paused? | Yes, for held fees |
| Are automatic overdue reminders paused? | Yes, for held fees |
| Does the manual Remind button still work? | Yes. A manual send ignores the hold, because you chose to send it |
| Does it affect other students? | No, only the student you held |
| How long does it last? | Up to 14 days, then automatic reminders resume |
| Is the fee still counted as pending? | Yes. The amount, due date and status are untouched |
The hold is checked again immediately before each message goes out. So if you hold a student at 8:59 and the reminder job is already running, the held fee is still skipped.
Why holds expire after 14 days
A forgotten hold is a silent collections leak. Imagine pausing a reminder "for a couple of days", getting busy, and discovering three months later that the fee was never chased.
TuitionDesk caps every hold at 14 days. After that the fee goes back to the normal reminder ladder on its own. If the parent genuinely needs longer, tap Hold reminders again to refresh the window. That is a deliberate action each fortnight rather than something that can be forgotten.
Seeing what is on hold: the owner fee digest
Owners also get a fee digest. Beyond the pending amount, it now reports:
- how many reminders went out in the last 24 hours,
- how many parents could not be reached (no usable phone number or email),
- how many fees are currently on hold and how long the oldest hold has been running.
The digest is also sent by email to the owner, so it reaches you even if you rarely open the app. Use it as a weekly check: if the "on hold" number keeps growing, you may be using holds where a fee plan or an instalment schedule would be cleaner.
Which plans include it
Automated fee alerts are available on every TuitionDesk plan, Free included, and the Hold control sits on top of them. WhatsApp reminder sending is not available on the Free plan, so Free centres rely on push and email reminders. Exact plan limits can change, so check the pricing page for current details.
A simple policy for your team
Give your tutors and front-desk staff a short rule so holds do not become an excuse to avoid chasing fees:
- Hold only when you have a reason you can write down, such as "paid by transfer on Saturday" or "agreed to pay on the 12th".
- Record the payment as soon as it lands, which ends the need for a hold.
- Review the held list every Friday. Anything held twice in a row deserves a phone call.
- For genuine hardship, agree a plan, such as an EMI or instalment schedule, instead of repeated holds.
