How a Tutor Runs Online Tuition with TuitionDesk (Free for 10)
Run online classes with Google Calendar and Meet, handle timezones and international students, share homework and material, and send fee receipts.
If you are a tutor, you can run online classes for up to 10 students free, forever on TuitionDesk: no credit card and no time limit. TuitionDesk does not host the video call. It creates a Google Meet link for every online session through Google Calendar, and handles the schedule, parent invites, attendance, homework and fees around it.
This guide walks through the whole setup, and is honest about which features are on the Free plan and which need a paid plan.
What is free for 10 students and what is not
| Need | Free (10 students) | Paid |
|---|---|---|
| Online class with Google Meet link and Google Calendar invite | Yes | All plans |
| Timezone and currency for your country | Yes | All plans |
| Attendance, fee tracking, email reminders, parent portal | Yes | All plans |
| Online homework | No | Starter and above |
| Study material uploads, online assessments | No | Growth and above |
| PDF fee receipts and invoices, online fee collection | No | Growth and above |
Google Meet is free to use with a normal Google account. You do not need Google Workspace.
Step 1: Set up your academy, country and timezone
Sign up at app.tuitiondesk.in and set your country, currency and timezone. These apply to your schedule, reminders and fees. Each plan covers one country of operation. TuitionDesk accepts any country with a custom currency symbol and a full IANA timezone, as described in our other country support post.
Step 2: Connect Google Calendar and create Meet links
Connect your Google account once. Every online session you schedule then gets its own Google Meet link, and parents receive a Google Calendar invite. Our guide to Google Meet and Zoom for online classes covers online, offline and hybrid batches in detail.
Step 3: Add students and parents
Create a batch (or a one-to-one student), add your students and invite parents to the parent portal. Parents see fees, attendance and progress without you forwarding messages.
Teaching students in other timezones
Set your academy timezone once. Google Calendar shows each class at the correct local time in every invitee's own calendar, so a student in Dubai or London sees the class in their time. For fee collection from abroad, Stripe is supported on Growth and above, and Razorpay for India. On the Free plan you can still track fees, record payments and send email reminders.
Study material, homework and online assessments
- Homework (Starter and above): assign to a batch and parents see it in the portal. You can attach revision video links with an optional access date.
- Study material and your own prep files (Growth and above): upload material for students and keep private preparation files.
- Online quizzes and assessments (Growth and above): see online quizzes and progress tracking.
On the Free plan, share material and homework outside TuitionDesk (for example a link in Meet chat) until you need it built in.
Fee receipts and invoices online
Track pending and overdue balances and send reminders on the Free plan. PDF receipts and invoices, and online fee collection, start at Growth. Read more in digital fee receipts and the fee collection guide.
Tips for a smooth online class
- Send the first invite a few days ahead so parents and students can accept it in their calendar.
- Keep one Meet link per session and use the calendar invite as the single source of truth, rather than pasting links into chats.
- Agree a start time that works for both timezones before you schedule a recurring batch with international students.
- Mark attendance right after class while you remember who joined, so parent reports stay accurate.
- Keep fee reminders on from day one. A polite automatic reminder is easier than a manual follow-up with each family.
A simple weekly routine for an online tutor
- Sunday: schedule the week's sessions so Meet links and invites go out.
- Before class: prepare material (Growth and above) or your notes.
- During class: teach on Google Meet.
- After class: mark attendance, assign homework (Starter and above).
- Friday: check pending fees and let reminders go out.
