How to Manage Batches and Attendance in Your Coaching Centre
A practical guide to setting up batches, schedules, and attendance tracking for coaching centres and tuition institutes using TuitionDesk.
Attendance tracking seems simple — mark who came, move on. But most coaching centres run into the same problems once they scale beyond 20–30 students:
- Attendance sheets get lost or filled inconsistently
- No way to know which students have been absent for three weeks running
- Parents ask "did my child come today?" and you have to check a register
- You cannot see attendance trends across batches without manually consolidating sheets
This guide shows how to set up batches and attendance in TuitionDesk so none of these problems apply.
What is a Batch in TuitionDesk?
A batch is a group of students who attend classes together at the same time. For example:
- "Grade 10 Science — Mon/Wed/Fri 4 PM" is one batch
- "NEET Foundation — Tue/Thu 6 PM" is another batch
Each batch has:
- A set of students enrolled
- A schedule (days of the week, time)
- Optionally, a teacher and a subject
- Sessions generated from the schedule (one per class day)
Attendance is marked per session — so if a batch meets three times a week, you get three attendance sessions per week.
Setting Up a Batch
Step 1: Add Subjects
Before creating batches, add your subjects. Go to Settings → Subjects and add the topics you teach (Mathematics, Physics, English, etc.).
Step 2: Create the Batch
- Go to Classes from the left sidebar
- Click Add Class
- Fill in:
- Class name (e.g., "Class 10 Science — Batch A")
- Subject (select from your subjects)
- Teacher (optional — assign later)
- Capacity (maximum students)
- Start date
- Click Save
Step 3: Assign Students
Once the batch is created, click Manage Students on the batch card. Search and add students from your student list. Students can be in multiple batches.
Step 4: Set the Schedule
- Open the batch and click Schedule or Add Schedule
- Select the days of the week (e.g., Monday, Wednesday, Friday)
- Set the start and end time (e.g., 4:00 PM – 6:00 PM)
- Save
TuitionDesk automatically generates sessions — one for each class day based on the schedule.
Marking Attendance
Daily Attendance Flow
- Go to Attendance from the left sidebar
- Select the batch and today's session
- For each student, mark Present or Absent
- Optionally add a note (e.g., "joined late", "informed in advance")
- Save
That is it. The attendance record is created, and parents can see it on the Parent Portal immediately.
Teacher Marking Attendance
If you have assigned a teacher to the batch, the teacher can mark attendance from their own login without seeing any financial or other student data. This is how most growing centres operate — the owner manages fees and settings, teachers manage attendance.
Bulk Attendance
For batches where most students are usually present, TuitionDesk lets you mark all present, then individually flip the absent students. Much faster than clicking each one.
After Attendance is Marked
Parent Notifications
Enable "Notify parents on absence" in Settings. When you (or a teacher) marks a student absent, TuitionDesk can send an automatic notification to the parent's phone or email. Parents stop calling to ask — they already know.
Dashboard Absence Alerts
Your home dashboard shows:
- Students absent today (across all batches)
- Students absent yesterday
- Students with continuous absence (absent for 3+ consecutive sessions)
The continuous absence flag is important — it catches students who are quietly dropping off before they formally drop out.
Attendance Reports and Analytics
Go to Reports → Attendance to see:

Common Attendance Problems — Solved
"My teachers forget to mark attendance" Enable attendance reminders in Settings. Teachers get a notification at class time. You can also see which sessions are unmarked from the home dashboard.
"I have too many batches to check manually" The home dashboard's Today's Classes widget shows every session happening today and whether attendance has been marked. You see gaps at a glance.
"Parents keep calling to ask if their child came" Turn on parent notifications for absence. Also share the parent portal link — parents can log in and see the full attendance history for their child without calling you.
"I want to see which students are at risk of dropping out" Check Students Needing Attention on your home dashboard. It surfaces students with poor attendance and flags continuous absences before you lose the student entirely.
