Managing a Home Tutor Agency with 100+ Teachers and Students
How a large home tutor provider can manage 100+ teachers: fixed or per-session pay, full-time and part-time staff, class check-in with location, online and offline classes.
A home tutor provider with 100+ teachers has a different job from a single tuition centre. Teachers work at different addresses and online, some are paid per class and some a fixed salary, and you need proof that each class actually happened. This guide shows how to run that with TuitionDesk, and is clear about what needs a particular plan.
TuitionDesk is management software for your back office. It is not a marketplace that finds tutors for parents, and it takes no commission on fees.
The five things a large tutor provider must control
- Who teaches whom: teachers, students and classes, with each teacher seeing only their assigned classes.
- How teachers are paid: per session, fixed monthly, full time or part time.
- Proof of teaching: when each class started and ended, and where.
- Parent trust: attendance, fees and updates without staff copying messages.
- Online and offline delivery from one schedule.
Add teachers and give them their own login
Add each teacher with name, phone and email, assign them to classes, and give them login access. Teachers can mark attendance for their classes, add session notes and homework (where enabled). They cannot void payments or change organisation settings. See the help guide on adding teachers.
Teacher pay: fixed, per session, full time or part time
Each teacher profile has an employment type and a salary type:
| Setting | Options |
|---|---|
| Employment type | Full Time, Part Time, Contract, Freelance |
| Salary type | Fixed Monthly, Per Session, Per Student per Month, Weekly Retainer |
For a per-session teacher, enter the rate per session on the profile. At month end, create the salary record and generate it from the sessions taught, then add any bonus or deduction. For a full-time teacher on a fixed salary, enter the monthly amount instead.
Every paid salary creates one linked expense automatically, so you never enter the same payment twice. Details are in teacher salaries and expenses.
Plan notes: the Teacher Salaries module starts on the Starter plan. Approval workflow, payslip PDFs and bank details start on Growth, and statutory deductions on Pro.
Session check-in and check-out with location
Teachers tap Check in when a class starts and Check out when it ends. In the owner view you see a log of who taught which class, the start and end times and the duration. If GPS is switched on, you also see a Google Maps pin for where the teacher checked in and out. Owners get a push alert when a teacher is 15 or more minutes late, or never checked in.
Two important points. Location is optional evidence: if a teacher denies location permission, check-in still works. And this feature is enabled per centre by TuitionDesk, so contact us to have it switched on.
Online and offline classes together
Schedule each session as online or offline. Online sessions get a Google Meet link through Google Calendar and parents receive the invite; see how a tutor runs online tuition with TuitionDesk. For home tuition at the student's address, the check-in log with location gives you evidence the class took place.
Which plan handles 100+ teachers
| Plan | Teachers | Students | Branches |
|---|---|---|---|
| Growth | Up to 15 | Up to 200 | 1 |
| Pro | Up to 30 | Up to 500 | Up to 3 |
| Enterprise (from ₹7,999/month) | Unlimited | Unlimited | Unlimited |
For 100+ teachers the plan is Enterprise. Enterprise pricing starts from ₹7,999 per month; contact us for a quote.
What about a teacher manager?
TuitionDesk does not have a dedicated "Teacher Manager" role today. In practice owners and branch managers do that job: they add teachers, assign classes, review check-in logs and teacher attendance, approve leave (Growth and above) and manage salary records. If you want a dedicated role, tell us and we can log it as a feature request.
A monthly routine for the operations team
- Start of month: review next month's schedule and teacher assignments.
- Weekly: check late or missed check-ins and teacher attendance.
- Month end: generate salary records from sessions, review, and mark them paid.
- Throughout: follow up pending fees using automatic reminders.
Frequently asked questions
Can one teacher be paid per session and another a fixed salary? Yes. The salary type is set per teacher.
Does TuitionDesk find tutors for my parents? No. It manages the tutors and students you already have.
Can I try it first? Yes. TuitionDesk is free for up to 10 students and 1 teacher, which is enough to try the basics. Multi-teacher payroll and larger teams need a paid plan.
