Smart Import: bring your Excel student list into TuitionDesk

Smart Import reads your CSV or Excel file, matches columns even when the headers are your own words, and adds students without retyping.

TuitionDesk Team··4 min read

Owners put off switching software for one reason: the student list already lives in Excel. Retyping two hundred names is a weekend, and a mistyped phone number becomes a parent who never gets the fee reminder.

Smart Import is how that list comes in. It is not a second product and it is not a fixed template you have to rebuild. It is the Import button.

What Smart Import does

You upload a CSV or an Excel file (.csv, .xlsx, or .xls). Three things make it "smart" rather than a blind paste:

  1. Column order does not matter. Name can be column C. Phone can be column A.
  2. Your headers can stay as they are. "Student", "Child name", "Mobile", "Father no." — Smart Import suggests which TuitionDesk field each header is.
  3. You confirm before anything is saved. Wrong suggestion? Change it. A column you do not want, such as an old serial number? Set it to Skip.

Only after you confirm does TuitionDesk add the rows. The result tells you how many were added, how many were skipped, and which row failed, with the reason.

Import students

  1. Open Students.
  2. Click Import. That opens Smart Import.
  3. Drop the file, or browse to it. If you want a blank sheet first, download the CSV or Excel template from the same screen.
  4. On Map columns, check the suggestion for each header. Student name is required. Phone, email, parent name, parent phone, parent email, admission or roll number, and date of birth are optional.
  5. Confirm.

If the file has more students than the seats left on your plan, Smart Import adds only as many as fit and tells you the rest were not added. Remaining seats are the plan maximum minus the students you already have. Deactivate a student who has left if you need a seat back, or move up a step.

The same wizard, other lists

Smart Import is not only for students. The same three steps — upload, map columns, confirm — are the Import action on:

  • Teachers
  • Subjects and topics
  • Fee plans
  • Recorded fee payments (the sheet is matched to a student who is already in the centre)
  • Question Bank
  • Tests and offline marks

A payment row cannot create a student who is not already there. Import the students first, then the fee sheet.

Prepare the sheet

You do not have to rename headers, but a clean sheet still imports more cleanly.

What you haveMap it to
The child's nameStudent name (required)
Parent mobileParent phone
Parent emailParent email
Class nameKeep it if you use it as a note; class enrolment is done in Classes after the student exists
A column you do not needSkip

Use one phone number format. A row with no name is reported and not saved.

Smart Import (bringing a sheet in) is on when the plan has Data import. On the current plans that includes Free. Downloading your list back out as CSV or Excel is Data export, and that is not the same switch.

After the import

The new students show on the Students list. Next, put them in a class, add a fee plan, and send the parent an invite when you want them to sign in. One parent login per student.
