How it works in practice
Setting up an event. From Events in the dashboard, pick the type — annual day, workshop, showcase, competition, camp, or tournament — add a description, dates, a location, an optional registration fee, and a photo or short video. For a tournament, add categories (Under-14 Singles, Open Doubles) and let fixtures fill in as rounds are played; standings compute automatically from the results you log, they are never manually tallied.
Registration. Your public academy site gets a searchable event listing — a card grid with photos, not a bare dropdown. A parent or student registers, pays online (or reserves a spot and pays at the door with a QR hold), and receives a ticket with a scannable QR code and a short check-in code as backup. For relay teams, doubles, or group dance entries, the same form switches to team mode: one team name, a roster of members, one registration per side.
On the day. Staff check in arrivals by scanning the QR (camera-based, no new hardware) or typing the short code if a phone camera isn't handy. No more asking "are you on the list?" three times per family.
Sponsors. Add a sponsor once, link them to as many events as they support, set their tier and amount. When you mark a sponsor as thanked, TuitionDesk generates a recognition certificate and emails it automatically — a five-minute job that used to be a Canva template and a manual send.
Levels. For martial arts belts, dance grades, or music exam levels, define your ladder once (name, order, optional badge icon) and award a level to a student whenever they progress. The parent sees the current level and the full history in their portal — no more "what belt is my daughter again?" phone calls.
Every one of these — events, sponsors, and levels — has a per-plan quantity limit editable in Admin > Plans, so a small academy on a lower tier isn't paying for headroom it doesn't need, and a growing one upgrades when it actually outgrows the limit rather than hitting a hard wall mid-registration.
Why this matters more for academies than for pure-tuition centres
A tuition centre's calendar is mostly flat — the same batches, the same fee cycle, month after month. A sports, dance, martial arts, or performing-arts academy runs on event spikes: the tournament, the recital, the grading day, the sponsor-funded showcase. Those spikes are also the moments that win new admissions — a parent who watches their child compete or perform is the easiest enrolment conversation you will ever have, and a sponsor's logo on your event page is free credibility with every parent who scrolls past it.
Running that spike on a separate, disconnected tool means the event never talks to the rest of your data: you cannot see which of your existing students registered, whether a no-show correlates with a fee default, or which sponsor actually drove foot traffic.
