Enquiry Follow-Up for Tuition Centres: Day 1, 3 and 7 Emails
Most tuition enquiries go quiet, not lost. See how a day 1, 3 and 7 follow-up sequence works, how to approve each email, and when it stops on its own.
A parent fills in your enquiry form on Sunday night. On Monday your front desk is busy with a batch change and a fee dispute. By Wednesday the enquiry is buried under three newer ones, and by Friday the parent has booked a demo class at the centre down the road. Nobody said no. You simply never followed up.
This is the most common way tuition centres lose admissions: not to a better competitor, but to silence. This guide explains how to build a simple follow-up habit, and how TuitionDesk's enquiry follow-up sequence automates the email part while keeping you in control of what is sent.
Why follow-up matters more than the first reply
A parent who enquires is usually talking to three or four centres at once. They are comparing fees, timings, teachers and distance. The centre that replies clearly and checks back politely tends to be the one that gets the demo-class booking. You do not need to pressure anyone. You just need to be the centre that is still in the conversation on day 7.
Common reasons an enquiry goes quiet:
- The parent got busy and forgot to reply.
- They are comparing options and waiting to see who responds.
- They had a question (fees, batch timing, syllabus) but did not want to ask.
- Your first reply landed in a crowded inbox.
None of these mean "not interested". A short, friendly nudge answers all of them.
A manual follow-up routine that works
Even without software, a fixed rhythm beats good intentions. A simple version:
| When | What to send | Goal |
|---|---|---|
| Same day | Thank-you and an offer to call or book a demo | Show you are responsive |
| Day 3 | A short check-in inviting questions on batches, timings and fees | Remove small doubts |
| Day 7 | A last friendly note offering to hold a demo slot | Give a clear, low-pressure next step |
The weakness of any manual routine is consistency. It works in the week you are not busy, and fails in the week you are admitting students.
How the TuitionDesk follow-up sequence works
The sequence is an optional setting under Settings in your TuitionDesk dashboard. When it is on, TuitionDesk looks at every open enquiry that has an email address and prepares up to three follow-up emails:
| Step | Sent after | Default wording |
|---|---|---|
| 1 | 1 day | Thanks for your interest in the course, offers a call or a free demo class |
| 2 | 3 days | Invites questions about batches, timings or fees |
| 3 | 7 days | A last note, offers to hold a demo slot |
A few details worth knowing:
- Counted from the last contact. The day count starts from when the enquiry arrived or when you last contacted the parent, whichever is later. If you called them yesterday, the clock restarts.
- Runs at 9 AM your centre time. The daily check happens in the morning in your centre's time zone.
- Quiet hours respected. Automatic sends are held back during the night, so parents are not emailed at 11 PM.
- Replies come to you. The email goes out under your centre's name, and a parent who replies reaches your centre's email address.
- Every email has an unsubscribe link. If a parent unsubscribes, their sequence stops and your staff are alerted.
Two modes: approve first, or send automatically
You choose how much control you want.
Approve mode (the default). Each step waits in the Admissions page for you to review. You can edit the message, then tap Approve and send, or Skip. This is the safer way to start, because you can add the child's name, the batch or a personal line before anything goes out.
Automatic mode. Turn on "Send follow-ups without approval" and the default wording is sent at 9 AM. This suits busy centres with a standard message, but you give up the chance to personalise each email.
When the sequence stops by itself
A follow-up that arrives after the parent has already joined is embarrassing. TuitionDesk stops the sequence automatically when:
- The enquiry moves to demo, admitted or lost.
- The parent unsubscribes from the emails.
- Your team taps Parent replied on a step, for the case where they answered by phone or WhatsApp.
Email replies are not matched to enquiries automatically, so if a parent replies to your email and you carry on the conversation, tap Parent replied so the next step does not go out. Steps that nobody reviews within seven days expire rather than being sent late with the wrong wording.
Limits you should know about
The sequence is designed to be careful rather than aggressive:
- It is email only. WhatsApp follow-ups are not part of this sequence.
- It starts only for enquiries from the last 14 days, so turning it on does not email your oldest backlog.
- There is a daily cap on the number of steps prepared per centre, and a monthly limit on how many enquiries can start the sequence.
- An enquiry without an email address is skipped. If your phone-only enquiries matter, make the email field required on your enquiry form.
Which plans include it
The admissions and enquiry CRM is available from the Starter plan upward. The automated follow-up sequence is a Pro-plan feature, with a monthly allowance of enquiries that can start the sequence (100 on Pro and 300 on Enterprise at the time of writing). Plans and limits can change, so check the pricing page for current details. If you are on Starter or Growth, use the manual routine above and log your calls in the CRM so overdue follow-ups stay visible.
Make the sequence work harder
Automation only sends the nudge. The result still depends on the enquiry behind it. Three things lift response:
- Reply to the first enquiry fast. A follow-up works best on top of a quick first answer.
- Offer a concrete next step. "Book a free demo class this Saturday" gets more replies than "let us know".
- Track why enquiries are lost. Marking a lost reason (fees, distance, timing) shows you what to fix. See the guide to the admissions CRM and lead pipeline.
