The Complete Fee Collection Guide for Tuition Centres: Online, UPI, QR, and Cash

How to collect fees from tuition students using Razorpay payment links, UPI QR codes, bank transfers, and cash — and how to automate every reminder and receipt.

Ask any tuition owner what their biggest headache is, and most will say the same thing: collecting fees.

Not because parents don't want to pay — most do. But because the process is broken. Parents forget. Owners feel awkward reminding. Cash gets lost. "I'll pay next week" becomes a month overdue. And the owner is spending hours every month chasing money instead of teaching.

Here's the thing: fee collection is a solved problem. The same technology parents use to pay their electricity bill and buy groceries can be applied to your tuition centre — automatically, without anyone chasing anyone. This guide shows you exactly how.


The four payment modes every tuition centre should offer

Different parents pay differently. Some prefer UPI. Some want to pay cash at the centre. Some will click a payment link on WhatsApp. Some want to transfer directly to your bank account from their net banking.

If you only offer one method, you're losing payments from parents who would have paid differently. Set up all four once and let parents choose.


Mode 1: Razorpay payment links (the most frictionless)

Razorpay is India's most widely used payment gateway and accepts every payment method your parents already use: UPI (PhonePe, GPay, Paytm, BHIM), debit/credit card, net banking, and wallets.

How it works in TuitionDesk:

  1. When a fee is created for a student, TuitionDesk generates a unique Razorpay payment link for that amount
  2. The link is included automatically in the fee due notification — sent via WhatsApp, email, or both, depending on what the parent has enabled
  3. Parent clicks the link, pays in under 30 seconds using any method they prefer
  4. Payment is confirmed, fee status updates to Paid, and a receipt is sent automatically

The parent never needs to know their child's student ID, the exact amount, or the bank account details. The link carries all of that. They just pay.

To enable Razorpay, you need a Razorpay business account (free to create, KYC takes 1–2 days). Once connected in TuitionDesk settings, payment links are generated automatically for every fee — no manual work.

The parent experience:

  • Opens WhatsApp or email
  • Taps the payment link
  • Chooses their preferred payment method (UPI, card, net banking)
  • Pays
  • Receives receipt on screen and via WhatsApp/email

Mode 2: UPI QR code (for parents who prefer scanning)

Some parents — especially those comfortable with PhonePe or GPay — prefer to scan a QR code rather than click a link. Your centre's UPI QR code handles this.

How to set it up:

  1. Generate your centre's UPI QR code from your bank's UPI app or from a payment aggregator
  2. Upload it once in TuitionDesk settings under Payment Methods
  3. TuitionDesk will include the QR code image in fee notifications (WhatsApp and email) when enabled

What parents receive:

In the fee reminder message, alongside the Razorpay payment link, the QR code appears as an image. Parent opens, scans with any UPI app, enters the exact amount shown in the message, pays. Done.

This is also what to display at your centre's reception — a printed QR code on the wall or desk. Parents who come in to pay cash can be offered the option to scan instead. Faster for them, and the payment is recorded instantly in the system.

UPI QR payments are not automatically reconciled (unlike Razorpay, where the payment confirmation flows back to TuitionDesk). When a parent pays via QR, you'll need to confirm receipt in TuitionDesk manually or ask parents to share the UPI transaction ID for verification.


Mode 3: Bank transfer / NEFT (for parents who prefer net banking)

Some parents — especially those paying from a business account or a joint account — prefer to transfer directly via NEFT or IMPS rather than using UPI or a payment link.

How to set it up:

Add your centre's bank account details in TuitionDesk under Payment Methods:

  • Account holder name
  • Account number
  • IFSC code
  • Bank name and branch

What parents receive:

When bank transfer is enabled, fee notifications include your account details in the message body:

Fee of ₹3,500 due 5th May. Transfer to: Account: XXXXXXXXXX IFSC: XXXXX0000XXX Name: [Your Centre Name] Or pay online: [Razorpay link]

Parents do the transfer from their net banking app and share the reference number. You confirm receipt in TuitionDesk.

This is especially useful for parents paying a term's fees in one shot (₹15,000–₹30,000) — they're more comfortable with a bank transfer for large amounts than with UPI.


Mode 4: Cash (still the most common — handle it right)

Despite everything above, cash is still how a significant portion of Indian tuition fees are paid. This isn't going away, and that's fine — as long as you track it properly.

The common mistake: accepting cash and writing it in a notebook. The notebook has no copy, no search, no reports. When a parent disputes payment 3 months later, you're looking at handwriting from memory.

The right way to handle cash in TuitionDesk:

  1. Parent pays cash at your centre
  2. You (or your admin) open TuitionDesk and mark the fee as Paid with payment mode "Cash"
  3. TuitionDesk generates a receipt automatically — the parent can receive it via WhatsApp or email, or you can print it
  4. The payment appears in your fee reports alongside online payments

Every payment — cash, UPI, Razorpay, bank transfer — is recorded in one place. Your reports show total collected, not just "what went through the gateway."

Always issue a WhatsApp receipt for cash payments. It protects you from disputes ("I paid last month") and makes parents feel the centre is professionally run — they get a digital receipt even when paying with notes.


How notifications carry payment information

The power of TuitionDesk's fee collection is not any single payment mode — it's that the right information reaches the right parent automatically at the right time.

Here's how it works end to end:

Fee due notification (3 days before due date)

Sent automatically via WhatsApp and/or email. Includes:

  • Student name and fee amount
  • Due date
  • Razorpay payment link (if Razorpay is connected)
  • QR code image (if QR is uploaded)
  • Bank account details (if bank details are added)
  • All three in one message — parent chooses how to pay

Fee overdue notification (1 day after due date, if unpaid)

Same content, firmer tone. Automatically re-sent without anyone doing anything.

Payment confirmation (immediately on payment)

As soon as a Razorpay payment clears (or you manually mark cash/UPI as paid):

  • Parent receives a WhatsApp/email confirmation with receipt
  • Fee status updates to Paid in TuitionDesk
  • No more reminders go out for that fee

Monthly fee summary

At the end of each month, parents can receive a summary of all fees paid, fees pending, and upcoming dues for the next month. This prevents "I didn't know there was a fee" conversations.


Setting up all four modes: the one-time checklist

Do this once. After that, fee collection runs on its own.

  • Razorpay: Create account at razorpay.com, complete KYC, connect to TuitionDesk in Settings → Payments
  • UPI QR: Generate QR from your bank's UPI app, upload image in TuitionDesk Settings → Payments → QR Code
  • Bank details: Add account number, IFSC, and account holder name in TuitionDesk Settings → Payments → Bank Transfer
  • Notifications: Enable WhatsApp and/or email notifications in Settings → Notifications
  • Fee schedules: Create a fee schedule for each batch — amount, due date, frequency (monthly, quarterly, etc.)

That's it. From this point, fee due reminders go out automatically, payment links are included, receipts are sent on payment. You don't do anything unless there's a problem.


What this looks like for a parent

Meet Kavitha. Her son Arjun is enrolled in your Class 10 Maths batch. Fee is ₹2,800/month, due on the 1st.

On 28th of the previous month: She gets a WhatsApp message — "Arjun's fee of ₹2,800 is due on 1st July. Pay via link, QR, or bank transfer."

On 28th, 3pm: She opens the message, taps the Razorpay link, pays via PhonePe in 20 seconds.

Immediately: She gets a WhatsApp receipt — "Payment of ₹2,800 received for Arjun. Thank you!"

On 1st July: No reminder sent — fee is already paid. No awkward message. No one chasing anyone.
