Batch Templates: Stop Rebuilding the Same Batch Every Term
Save a batch's schedule and fee structure as a reusable template once, then spin up next term's batches in seconds instead of re-entering the same days, times, and fees by hand.
Every term-start looks the same at most coaching centres: a new intake of "Grade 10 Physics — Evening Batch," and the owner (or the branch admin) sits down and re-enters the same three things they entered last term — the days and times, the fee amount and structure, the batch description. Multiply that by six subjects and two branches and term-start becomes a half-day of retyping things you already know, because your software forgot them the moment last term's batch closed.
Batch Templates save that setup once and let you reuse it — for the next intake of the same batch, for a second branch running the identical schedule, or for a new teacher taking over a batch shape that already works.
What a template actually stores
| Field | What it captures |
|---|---|
| Name & description | "Grade 10 Physics — Evening Batch," and whatever context matters to your team |
| Default schedule pattern | The recurring days and times this batch runs |
| Default fee structure | The fee amount, frequency, and structure this batch charges |
Create a template once from Batch Templates in the dashboard. From then on, starting a new batch from that template takes three inputs — which branch, which teacher, and (optionally) a name override — and everything else is pre-filled. Need this term's version to run at a slightly different time, or with a discounted intro fee? Override just the schedule or just the fee at creation time; the template stays the clean default for next time.
A template is organisation-level, not branch-level — build "Grade 10 Physics — Evening Batch" once and spin up the identical shape at every branch that runs it, instead of re-entering the same schedule and fee structure branch by branch.
Where this actually saves time
- Term rollover. The most common use: last term's batch closes, this term's intake needs the identical shape. Instead of re-typing schedule and fees, create-from-template and you're adding students within the minute.
- Multi-branch rollout. A batch format that works at your main branch — same days, same fee — rolling out to a second or third branch without anyone retyping the fee structure incorrectly at the new location.
- Handover consistency. A new teacher taking over an existing batch shape keeps the same schedule and fee structure the previous teacher ran, because the template — not memory — is the source of truth.
None of this is a new capability bolted on top of batches — it's the same Batch record you already manage day to day, just pre-filled from a saved shape instead of a blank form.
Who this is for
This is a PRO-plan-and-above feature, aimed squarely at centres running the same batch shape repeatedly across terms or branches — a 15-student solo tutor running one batch has nothing to template and loses nothing by not having it. A centre running six subjects across two branches, rebuilding the same fee structure by hand every term, is exactly who this removes a half-day of retyping for. The exact plan floor is editable in Admin > Plans.
