Faster Attendance: Suggested Pre-fill and Parent Leave Notices

How TuitionDesk pre-fills in-person attendance from recent history and approved parent leave, so teachers confirm instead of tapping every row.

Taking attendance is the first job of every class and the one that most often gets rushed. A teacher with a batch of 25 students opens the register, taps through a list where almost everyone is present, and tries to remember which parent called to say their child would be away. Mistakes creep in: a student on approved leave is marked present by habit, or a regular who simply was not ticked shows up as absent and triggers an unnecessary call.

TuitionDesk now has a Suggested pre-fill for in-person classes. It reads two signals the centre already has, recent attendance and parent leave notices, and fills in a starting point for the teacher. This guide explains what it does, what it deliberately does not do, and how to run it in your centre.

What the pre-fill does

When a teacher opens the attendance page for an in-person batch on a class day, students who have no saved mark yet can appear with a Suggested badge and a one-line reason under their name. There are two rules, and only two:

RuleWhen it appliesWhat is suggestedReason shown to the teacher
Approved leaveThe parent sent a leave notice for that date and the centre acknowledged itAbsent"Approved leave request", plus the parent's reason if given
Recent attendanceNo approved leave, and the student has at least 3 earlier marks in this batchPresent, only if the student was present or late in at least 80% of their last 10 marked sessions"Present in 8 of the last 10 sessions"

Students with no clear signal are left unmarked. A new student with fewer than three recorded sessions, or one whose recent attendance is patchy, gets no suggestion. This is a rules-based feature: no AI model is called, and nothing is guessed beyond those two rules.

Nothing is final until the teacher saves

This is the part owners care about most. Suggestions are not saved as attendance; they only appear on screen:

  • The Suggested badge stays until the teacher saves. Pressing Save confirms every pre-filled row at once.
  • Autosave skips untouched suggestions, so changing one student's mark does not quietly finalise everyone else.
  • A teacher can flip any suggested row before saving, and the reason line helps them decide.

Because attendance can drive fee follow-ups and parent alerts, the principle is simple: software proposes, a human confirms.

How parent leave notices feed in

Parents who use the Parent Portal can tell the centre their child will be absent on a given date, with an optional reason. Staff see these under Parent leave notices on the attendance page. Acknowledging a notice confirms the centre has seen it, and from then on that student is suggested as absent for that date. For class days that have already happened, the centre can also choose to mark the student absent when acknowledging.

Two practical effects follow:

  1. Teachers stop marking a child present out of habit when the parent already gave notice.
  2. Parents get one clear route to give notice, instead of messaging individual teachers on WhatsApp.

For the wider parent-side picture, see the Parent Portal guide and parent alerts via push notifications.

Where it does not apply

The pre-fill is intentionally narrow. It does not run when:

  • the batch is an online batch (online classes use their own join-based check-in),
  • the date is a holiday,
  • the date is in the future, or
  • the owner has switched the feature off.

It also only fills students who have no saved mark yet, so re-opening a finished register never overwrites what was recorded.

Switching it on or off, and checking whether it is right

The setting is on by default. The owner can turn it off from the attendance page settings under Pre-fill ("Suggest attendance for in-person classes"). Next to that switch, TuitionDesk shows a Suggestion accuracy summary for the last 90 days, per rule: how many suggestions the teacher kept unchanged. It reads, for example, "Recent attendance: 92% kept (46/50)" once you have data, or "no data yet" until then. (That figure is an illustration of the format, not a benchmark.)

Use that number honestly. If the Recent attendance rule is kept almost every time, teachers are saving effort. If the rate drops, perhaps because your batches have irregular schedules, switch it off and revisit later. The figures are specific to your own centre.

A simple routine for teachers

  1. Open the batch's attendance page at the start of class.
  2. Scan the Suggested rows and their reasons; fix anything you can see is wrong.
  3. Mark the unsuggested students as normal.
  4. Press Save once. That confirms the whole register.

For the habits behind reliable registers, read attendance tracking best practices for tuition centres, and note that daily attendance is free on every plan. Teacher time off is covered separately in teacher leave and the Parent Portal. Plan details can change, so see the pricing page for what each plan includes.

Ask parents to send leave notices through the Parent Portal rather than WhatsApp. Only notices that staff acknowledge there feed the pre-fill.

Frequently asked questions

Does the pre-fill mark students absent automatically? No. Nothing is recorded until a teacher presses Save, and untouched suggestions are not autosaved.

What if a student has only just joined? With fewer than three recorded sessions in the batch there is no history rule, so the row is left unmarked.

Which plans include it? We found no plan restriction on the pre-fill itself, but parents need the Parent Portal to send leave notices. See the pricing page for current plan details.

Try it at your centre

Set up a batch, add your students, and take attendance for a few weeks; the history rule starts working after three recorded sessions. Create your free TuitionDesk account and see how much faster the register gets.
