The Kanban board shows all six columns side by side. On a laptop screen not all six always fit without scrolling — TuitionDesk shows a scroll arrow whenever there are more stages off-screen, so Admitted and Lost are never hidden by accident.

Where enquiries come from

An enquiry can enter the pipeline from several places, and TuitionDesk tags the source automatically:

  • Public enquiry form — your free TuitionDesk site at app.tuitiondesk.in/site/your-centre, or the form embedded on your own website
  • WhatsApp — a parent messages your WhatsApp Business number
  • Walk-in — logged manually by front desk
  • Referral, Google, Facebook, phone, fair — logged manually with the right source tag

Knowing the source matters. If 70% of your admitted students came from referrals and almost none from your Facebook ads, that's a marketing budget conversation you can now have with data instead of a hunch.

Demo scheduling — with a real meeting link

When a lead is ready for a trial class, you schedule a demo directly from their enquiry card: date, time, subject, teacher, and either a venue (in-person) or a meeting link (online).

If your centre has Google Calendar connected (Settings → Google Calendar), the meeting link is generated automatically — a real Google Meet link, created via the Calendar API, no copy-pasting a personal meeting room link. The parent gets it by email the moment the demo is confirmed.

Demo outcomes are tracked too: Attended, No-show, or Cancelled — not just "scheduled" and then silence. That's what makes the stats below meaningful instead of guesswork.

The numbers that actually matter

The Admissions dashboard shows live stats, not vanity metrics:

  • Today / This week — new enquiries, so you can see if your marketing spend is producing leads
  • Demo rate — what percentage of scheduled demos are actually attended
  • Conversion rate — admitted ÷ (admitted + lost) — the number that tells you if your sales process works
  • Avg. days to admit — how long it takes a lead to become a student, on average
  • Due today / Overdue — follow-ups that need to happen right now

If your conversion rate is low but your demo rate is high, the problem is what happens after the demo, not your marketing. If demo rate is low, parents are booking but not showing up — a reminder problem, not a sales problem. The dashboard tells you which conversation to have with your team.

One click: convert to student

When a lead is admitted, you don't re-type their details into the Students module. Convert to Student carries over the parent's name, phone, student name, grade, and subject interest directly into a new student record — you just confirm the batch and fee plan. The enquiry closes itself out as Admitted, linked permanently to the student record it created.

Who can use it

Admissions CRM (enquiry pipeline, demo scheduling, and conversion stats) is available from the Growth plan upward. On Free and Starter, enquiries can still be captured through the public form and WhatsApp — the full pipeline, demo tracking, and stats unlock on Growth+.

A common mistake: treating the pipeline as optional and still calling parents from memory. The value of the CRM is that nothing depends on memory — every enquiry has a status, an owner, and a next action, whether you check it today or three weeks from now.
